Wedding/Event Coordinator

Assist guests and coordinate staff at a 100th Birthday Party for three days, May 2-4 in Remsen, Iowa

About the Event: We are looking for an experienced, highly organized Event Planner (or Wedding Planner looking for a fun change of pace!) to help us execute the celebration of a lifetime: Esther Bunkers’ 100th Birthday.

This event will double as a massive family reunion for exactly 200 descendants. It spans three days in May in beautiful Remsen, Iowa. We have the vision, the venues, and the custom designs (including a highly specific Harvestore silo and tractor cake, and family-branch color coding!), but we need a professional "boots on the ground" director to herd the cats, manage the timeline, and ensure the family can actually enjoy the weekend instead of working it.

The Itinerary You Will Manage:

  • Day 1 (The Grand Celebration): Mass at St. Mary's followed by a massive 200-person group photo on the church steps. Then, a formal dinner and dance at the historic Avalon Ballroom.
  • Day 2 (The Family Field Day): A casual outdoor hog-roast/BBQ at the Remsen City Park (Nip Schealer Field), complete with a multi-generational family softball game.
  • Day 3 (The Sweet Send-Off): A relaxed, drop-in open house for cake and goodbyes at Bavarian Meadows assisted living facility.

Key Responsibilities:

  • Pre-Event Coordination: Review our existing vendor list and decor plans. Liaise with local bakeries (Le Mars), rental companies (Sioux City), and caterers.
  • Decor Setup & Strike: Manage the setup at the Avalon Ballroom, including assembling heavy LED "Bobo" balloons with helium, arranging table runners, and setting up light-up marquee letters.
  • Timeline & Crowd Management: Act as the primary timekeeper. Most importantly, aggressively (but politely!) direct 200 family members for the "Mega Descendant Photo" so it happens quickly and efficiently.
  • On-Site Troubleshooting: Handle any May weather contingencies (moving park activities to the shelter house), oversee buffet lines, manage the audio/PA system for speeches, and ensure the 100-year-old honoree has a quiet space and comfortable seating at all times.

Qualifications:

  • Proven experience as an event coordinator, wedding planner, or large-scale project manager.
  • Must be comfortable managing and directing large crowds (200+ people).
  • Exceptional problem-solving skills and a calm demeanor under pressure.
  • Ability to be on your feet for long hours over a 3-day weekend.
  • Must have reliable transportation to travel between Le Mars, Sioux City, and Remsen for supplies and event locations.

Job Type: Temporary

Pay: $17.00 - $25.00 per hour
