Weekend Receptionist

Duties

• Greet visitors warmly, assist with check-in procedures, and direct them appropriately
• Manage multi-line phone systems to answer inquiries promptly and professionally
• Handle incoming calls with excellent phone etiquette, transferring or taking messages as needed
• Maintain a clean and organized front desk area, including filing, data entry, and document proofreading
• Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools
• Assist with clerical duties including filing, photocopying, and updating records in Google Workspace or Microsoft Office applications
• Provide customer support by addressing questions or concerns efficiently and courteously
• Give new prospects a tour of the community

Skills

• Proven experience in front desk operations and office management roles
• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
• Excellent organizational skills with the ability to prioritize tasks effectively
• Bilingual abilities are highly desirable to serve diverse clientele better
• Demonstrated experience with multi-line phone systems and phone etiquette
• Adept at data entry, proofreading, filing, and general clerical work
• Knowledge of QuickBooks or similar bookkeeping software is a plus
• Exceptional customer service skills with a friendly demeanor and professional appearance
• Strong time management skills to handle multiple responsibilities efficiently
• Previous personal assistant or administrative experience is advantageous
