The employee is responsible for researching and resolving issues related to budget check failures, p-cards, requisitions, purchase orders, receipts and invoice processing within the Workday system. The role provides training and guidance to county staff, collaborates with the Budget and Purchasing Departments, and works directly with the Clerk of Court’s Office to ensure smooth operations and compliance with established financial processes.
EXAMPLE OF DUTIES
Researches and resolves Workday budget check errors and other system issues related to p-cards, requisitions, purchase orders, receipts, and invoices.Researches and resolves Workday system issues related to various budget and procurement reports. Serves as a liaison between Budget, Purchasing, and the Clerk of Court to address workflow and financial system discrepancies.Provides technical guidance and troubleshooting assistance to county staff on Workday processes.Develops and delivers training sessions, instructional materials, and “how-to” resources for Workday
users.Reviews system workflows and recommends improvements to increase efficiency, accuracy, and compliance.Assists in testing and validating system updates or configuration changes affecting budget and procurement modules.Ensures data integrity between Workday and OpenGov by performing regular reconciliations and identifying discrepancies between budgeted and actual data.Maintains awareness of upcoming system releases, patches, or updates from both vendors and assesses potential impacts on county workflows.Serves as a liaison between Budget, Purchasing, Finance, IT, and OpenGov/Workday vendor support teams to coordinate technical solutions and process improvements.Monitors recurring issues and works with internal teams and external support (as needed) to implement long-term solutions.Maintains documentation of common issues, resolutions, and updated procedures for staff reference.Performs related duties as assigned.
SUPPLEMENTAL INFORMATION
Knowledge of governmental budget and procurement processes.Knowledge of Workday and OpenGov (or other ERP financial systems), with the ability to troubleshoot technical and functional issues.Knowledge of effective modern local government policies, practices, procedures and systems.Knowledge of business english, spelling and math.Knowledge of office practices and procedures.Knowledge of project management and organizational skills.Proficient knowledge of automated budget/financial applications, spreadsheets required. This is primarily office work requiring limited physical effort. This position requires stooping, crouching, walking, pulling, lifting, grasping, hearing, visual acuity (i.e. seeing up close, seeing far away, depth perception), kneeling, reaching, pushing, talking, standing, climbing, finger movement, repetitive motions. This position may require lifting up to 50 lbs. SPECIAL REQUIREMENTS: Must be available to occasionally work beyond normal business hours to resolve system issues or support fiscal year
deadlines.WORK LOCATION: Remote Eligible - This position is assigned to a county worksite. However, in the sole discretion of Bay County BOCC, this position may be eligible for telework within the State of Florida.
