Ontario Cares is a local nonprofit serving the Finger Lakes since 1998. We provide programs and services that strengthen our community and support individuals and families. Our initiatives include the Community Support Center, Epic Zone Youth Clubhouses in Geneva and Bloomfield, Ontario County Youth Court, County Community Liaison Team, and several coalitions focused on substance abuse, suicide prevention, veterans, and leadership. We also host a monthly pop-up food pantry. Our team is made up of passionate professionals dedicated to making a meaningful impact.

Position Summary

The Youth Programs Assistant provides administrative and program support for Ontario Cares youth programs, with a primary focus on Ontario County Youth Court. Youth Court is a diversion program that gives first-time youth offenders a second chance by offering an alternative to traditional court or school discipline.

This position supports the Director of Youth Programs and youth program staff with Youth Court hearings, volunteer tracking, training logistics, program files, data entry, credit card reconciliations, reporting, and general administrative tasks. The ideal candidate is highly organized, comfortable with Excel and technology, detail-oriented, and able to work professionally with youth, families, schools, probation, law enforcement, and community partners.

Key Responsibilities

• Provide administrative and program support for Ontario County Youth Court, including hearings, trainings, volunteer coordination, and program documentation.
• Attend evening Youth Court hearings (3 times per month?) to provide on-site support to youth volunteers and program participants, helping ensure proceedings run smoothly and professionally.
• Assist with organizing and attending Youth Court’s 20-hour member training sessions, held twice a year, to support recruitment and development of new youth volunteers.
• Accurately record, track, and maintain weekly attendance for youth volunteers and participants.
• Assist with data entry, program tracking, outcome reporting, and preparation of reports for grants, funders, and internal program review.
• Support administrative functions for youth programs, including maintaining organized files, preparing materials, managing forms, and assisting with program logistics.
• Assist with credit card reconciliations, expense documentation, receipts, and other basic administrative finance tasks related to youth programs.
• Communicate regularly with the Ontario Cares Communications Manager to share updated information about Youth Court events, activities, and other youth program updates for outreach and promotion.
• Assist with community outreach efforts and represent youth programs at public events or information tables.
• Support the Director of Youth Programs, Raise the Age Coordinator, and other youth program staff with administrative tasks, scheduling support, data collection, and general program operations.
• Collaborate as an active member of the Ontario Cares team, providing support to other programs as needed and performing additional duties as assigned.

Qualifications and Skills

• High school diploma or GED required; associate degree or equivalent work experience preferred.
• At least two years of experience in administrative support, program coordination, or a related role preferred.
• Previous experience working with youth ages 12–17, parents, schools, or community partners is strongly preferred.
• Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
• Proficiency with Microsoft Office, especially Excel, Word, and Outlook. Comfort with spreadsheets, data entry, sorting information, tracking attendance, and preparing basic reports is required.
• Must be comfortable learning and using technology, including online forms, shared drives, databases, reporting systems, and basic digital communication tools.
• Excellent verbal and written communication skills.
• Ability to work independently while also collaborating as part of a team.
• Must be available for some evening or weekend hours, as needed for Youth Court hearings, trainings, and youth program events.
• Ability to travel locally as required.
• Must maintain a high level of professionalism, confidentiality, and discretion when handling sensitive information involving youth and families.

This is a grant-funded position contingent on continued grant funding.
