About the Role

We seeking a highly organized, proactive, and detail-oriented Chinese-Speaking Office Support Coordinator to provide comprehensive administrative and operational support across various departments, including Project Management, Procurement, Human Resources, and Client Relations.

The successful candidate will play a vital role in facilitating effective communication between Chinese-speaking stakeholders and internal teams while ensuring smooth day-to-day operations and contributing to the successful delivery of our real estate development projects.

Key ResponsibilitiesAdministrative & Executive Support

  • Provide comprehensive administrative support to management and various departments.
  • Manage schedules, appointments, meetings, and business correspondence.
  • Prepare reports, presentations, meeting minutes, and internal documentation.
  • Maintain accurate records and filing systems, both physical and digital.

Translation & Communication

  • Provide professional translation and interpretation services between Mandarin Chinese and English.
  • Translate contracts, reports, correspondence, and project-related documents.
  • Facilitate effective communication between Chinese-speaking clients, suppliers, consultants, and internal teams.

Client Relations

  • Serve as the primary point of contact for Chinese-speaking clients and business partners.
  • Handle inquiries professionally and ensure exceptional customer service.
  • Support client meetings, site visits, and business negotiations when required.

Project & Procurement Coordination

  • Assist project teams in coordinating with contractors, consultants, and suppliers.
  • Monitor project-related documentation, submissions, approvals, and follow-ups.
  • Coordinate procurement activities, including sourcing materials from Chinese suppliers.
  • Track orders, shipments, and delivery schedules to ensure timely project execution.

Human Resources Support

  • Assist with employee onboarding and orientation processes.
  • Maintain personnel records and HR documentation.
  • Coordinate training sessions and employee-related administrative requirements.

Event & Office Coordination

  • Assist in organizing company events, meetings, exhibitions, and client visits.
  • Coordinate logistics, travel arrangements, and office administration activities.
  • Liaise with external service providers and vendors to support office operations.

QualificationsEducation

  • Bachelor's Degree in Business Administration, Communications, Management, or a related field.

Experience

  • Minimum of two (2) years of experience in an administrative, coordination, or office support role.
  • Experience within the real estate, construction, or property development industry is highly preferred.

Language Requirements

  • Native or fluent Mandarin Chinese and English (written and spoken).
  • Strong translation and interpretation capabilities.

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Wecom, Wechat).
  • Familiarity with office administration systems and document management tools.

  • Experience coordinating with overseas vendors and stakeholders.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Adaptable, resourceful, and solution-oriented mindset.
