Job Overview We are seeking a dynamic and friendly Receptionist to be the welcoming face of our organization. As a Receptionist, you will serve as the first point of contact for visitors and callers, supporting office management and contributing to a positive, efficient work environment.Responsibilities<ul><li>Greet visitors warmly and direct them appropriately, ensuring a positive first impression.</li><li>Manage multi-line phone systems, screening calls and transferring inquiries efficiently.</li><li>Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness.</li><li>Maintain front desk organization by managing filing systems, data entry, and document proofreading.</li><li>Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools.</li><li>Provide excellent customer support by addressing inquiries professionally and courteously.</li><li>Assist with clerical duties including typing reports, organizing files, and updating records in Google Workspace or Microsoft Office applications.</li><li>Ensure office supplies are stocked and equipment is functioning properly to support daily operations.</li><li>Uphold phone etiquette standards and maintain a professional demeanor at all times.</li></ul>Requirements<ul><li>Proven experience in office administration or reception roles with strong clerical skills.</li><li>Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace tools.</li><li>Familiarity with multi-line phone systems and excellent phone etiquette.</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively.</li><li>Strong organizational skills with keen attention to detail; capable of managing time efficiently.</li><li>Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks.</li><li>Previous experience in medical or dental receptionist roles is advantageous but not mandatory.</li><li>Excellent customer service skills with a friendly attitude and professional appearance.</li><li>Ability to handle multiple tasks simultaneously while maintaining accuracy under pressure.
