Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This paid position offers an exciting opportunity to develop your office management skills in a fast-paced environment where every day brings new challenges and rewards.Responsibilities<ul><li>Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.</li><li>Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently and taking detailed messages when necessary.</li><li>Handle front desk duties such as checking in guests, scheduling appointments, and maintaining visitor logs.</li><li>Perform data entry and maintain accurate filing systems both physically and electronically using Google Workspace and Microsoft Office tools.</li><li>Assist with calendar management, scheduling meetings, and coordinating appointments for staff or executives.</li><li>Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and organizing office supplies.</li><li>Provide exceptional customer service by responding to inquiries via phone or email, supporting clients or patients as needed.</li><li>Conduct proofreading of documents, prepare correspondence, and ensure all communication is clear and professional.</li><li>Support clerical tasks such as photocopying, scanning, faxing, and maintaining organized files.</li><li>Assist with special projects or personal assistant duties to help team members stay organized and efficient.</li></ul>Skills<ul><li>Proven experience in office management or administrative support roles with strong organizational skills.</li><li>Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software.</li><li>Strong knowledge of multi-line phone systems and phone etiquette to handle high call volumes professionally.</li><li>Bilingual abilities are highly preferred to serve diverse client needs effectively.</li><li>Experience with QuickBooks or bookkeeping is a plus for supporting financial tasks.</li><li>Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.</li><li>Attention to detail for proofreading documents and maintaining accurate records.</li><li>Effective time management skills to handle multiple responsibilities simultaneously without compromising quality.</li><li>Previous experience in reception roles such as dental or medical receptionist is advantageous but not required.</li><li>Personal assistant experience or familiarity with calendar management enhances your ability to support team members effectively.
