Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities

  • Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly.
  • Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently and taking detailed messages when necessary.
  • Handle front desk duties such as checking in guests, scheduling appointments, and maintaining visitor logs.
  • Perform data entry and maintain accurate filing systems both physically and electronically using Google Workspace and Microsoft Office tools.
  • Assist with calendar management, scheduling meetings, and coordinating appointments for staff or executives.
  • Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and organizing office supplies.
  • Provide exceptional customer service by responding to inquiries via phone or email, supporting clients or patients as needed.
  • Conduct proofreading of documents, prepare correspondence, and ensure all communication is clear and professional.
  • Support clerical tasks such as photocopying, scanning, faxing, and maintaining organized files.
  • Assist with special projects or personal assistant duties to help team members stay organized and efficient.

Skills

  • Proven experience in office management or administrative support roles with strong organizational skills.
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software.
  • Strong knowledge of multi-line phone systems and phone etiquette to handle high call volumes professionally.
  • Bilingual abilities are highly preferred to serve diverse client needs effectively.
  • Experience with QuickBooks or bookkeeping is a plus for supporting financial tasks.
  • Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Attention to detail for proofreading documents and maintaining accurate records.
  • Effective time management skills to handle multiple responsibilities simultaneously without compromising quality.
  • Previous experience in reception roles such as dental or medical receptionist is advantageous but not required.
  • Personal assistant experience or familiarity with calendar management enhances your ability to support team members effectively.
