Proposals Assistant-Remote

Exante360, Inc., is looking for a Proposals Assistant that wants to join us on our bold initiative of “improving lives through relations, by connecting people to solutions.”

Role

We are seeking a Proposals Assistant to support our Business Development/Sales team in managing the Proposals and Add Service Requests (ASRs – also known as Change Orders) process. This is not a traditional sales position; instead, it focuses on document preparation, process tracking, and cross-team coordination.

The ideal candidate will be a detail-oriented problem-solver who thrives in an organized, fast-paced environment. You will work closely with Project Managers, Consultants, and the Director of Business Development to ensure accurate, efficient, and timely completion of proposal-related deliverables.

What You’ll Do

• Assist with research of RFP/RFQ and bid opportunities
• Read and interpret RFP/RFQ proposal requirements
• Prepare, track, and manage proposals through CRM systems and internal workflows
• Coordinate with Project Managers, Consultants, Marketing, and Sales leadership to keep proposal processes on schedule
• Draft and update proposal documents using past examples and project-specific scope information
• Maintain accurate client, opportunity, and contract records within CRM and project folders
• Monitor deadlines, guide workflows, and ensure submissions are complete and accurate
• Support CRM setup and process improvements for awarded projects

• Sense of customer service, excellence, responsibility, and versatility.
• Candidates from Pacific, Central, or Mountain time zones preferred. Candidates from Eastern time zones will not be considered.

Education/Experience Requirements

• 2-5 years of experience in the professional services industry in Sales or Marketing.
• Experience in the AEC industry is preferred.
• Experience with consulting or professional services firms, focused on proposal documentation.
• Bachelor’s degree in a related field required.
• Proficiency with Microsoft Office and Microsoft Outlook is essential.
• Experience with customer relationship management (CRM) databases and other software tools a plus.
• Familiarity with Adobe Creative Suite, specifically InDesign is preferred.
