Job Overview We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to the owner of A Rustic Root. This dynamic role involves managing complex calendars, coordinating orders, handling correspondence, and ensuring smooth daily operations. The ideal candidate will demonstrate exceptional administrative skills, a keen eye for detail, and the ability to multitask efficiently in a fast-paced environment. Your energetic approach will help keep executives focused and productive, enabling them to achieve their goals with confidence.Duties<ul><li>Manage and maintain detailed calendars of current orders</li><li>Provide executive administrative support by preparing reports, proofreading documents, transcribing audio or video recordings, and managing correspondence.</li><li>Coordinate projects and events from inception to completion, ensuring deadlines are met and all logistics are handled seamlessly.</li><li>Handle office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining organized records.</li><li>Serve as the first point of contact via multi-line phone systems and uphold excellent phone etiquette when communicating with clients, vendors, and internal teams.</li><li>Oversee personal assistance duties such as personal errands, appointment scheduling, and confidential information management.</li></ul>Skills<ul><li>Proven experience as an executive assistant or personal assistant with strong office management skills.</li><li>Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment.</li><li>Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, QuickBooks, and data entry systems.</li><li>Excellent communication skills with professional phone etiquette and customer service experience.</li><li>Strong project coordination abilities to manage multiple initiatives simultaneously while maintaining attention to detail.</li><li>Experience in event planning and logistical arrangements for meetings or corporate functions.</li><li>Demonstrated clerical experience including filing, proofreading, transcription, and office experience in a front desk setting.
