<b>Position:</b> Junior HR Executive</p>
<h3 class="jobSectionHeader"><b>Job Role</b></h3>
<p>The Junior HR Executive is responsible for assisting in various HR functions including recruitment, employee onboarding, records management, attendance tracking, and day-to-day administrative tasks. This role serves as a support link between management and staff, ensuring smooth and compliant HR operations.</p>
<h3 class="jobSectionHeader"><b>Duties &amp; Responsibilities</b></h3>
<p><b>1. Recruitment Support</b></p>
<ul><li>Post job openings on various platforms and collect applications.</li><li>
Assist in local and overseas hiring; coordinate with candidates and hiring agents (Local &amp; Overseas).</li><li>
Conduct CV screening, telephonic interviews, online testing, and 1st round of face-to-face interviews.</li><li>
Coordinate interview schedules with candidates, Sr. HR Executive, and hiring managers.</li><li>
Collect required documents from agents (PCC, Pre-Medical) and obtain necessary management approvals for visa issuance and airline ticket booking.</li><li>
For local hiring, collect necessary documents directly from candidates.</li><li>
Prepare offer letters and joining documents.</li><li>
Support in onboarding and induction activities.</li><li>
Maintain and analyze recruitment data and generate relevant reports.</li></ul>
<p><b>2. Employee Records &amp; Documentation</b></p>
<ul><li>Maintain and update employee files (physical and electronic).</li><li>
Record and track expiry of documents such as passports, visas, and insurance.</li><li>
Ensure all HR documents are filed and labeled correctly.</li></ul>
<p><b>3. HR System Support</b></p>
<ul><li>Update employee information in the HRMS system.</li><li>
Generate standard HR reports (attendance, late/early logins, HR metrics, recruitment data, etc.).</li><li>
Handle data entry and verification during audits or reviews.</li></ul>
<p><b>4. Attendance &amp; Leave Management</b></p>
<ul><li>Monitor daily attendance records and process leave applications.</li><li>
Follow up with employees or supervisors on attendance irregularities.</li><li>
Assist in creating or verifying monthly attendance reports for payroll processing.</li></ul>
<p><b>5. Employee Relations</b></p>
<ul><li>Handle basic employee queries regarding HR policies and procedures.</li><li>
Maintain employee engagement records and participation in HR programs.</li><li>
Assist in grievance handling by conducting investigations, preparing grievance reports, and documenting disciplinary actions under guidance.</li></ul>
<p><b>6. General HR Administration</b></p>
<ul><li>Support Sr. HR Executive &amp; HR Manager in creating and amending forms, policies, and processes.</li><li>
Draft and issue employee letters (salary certificates, sick leave forms, memos, etc.).</li><li>
Circulate/convey HR communications to employees.</li><li>
Support HR events, training sessions, and employee engagement activities.</li><li>
Ensure employees comply with organizational policies and processes.</li><li>
Assist in obtaining and carrying out tasks for sustaining ISO certification of the organization.</li></ul>
<h3 class="jobSectionHeader"><b>Department Reports</b></h3>
<p>The Junior HR Executive is responsible for generating the following reports:</p>
<ul><li>Monthly Attendance Report</li><li>
Monthly Late-Early deduction report</li><li>
Monthly recruitment data</li></ul>
<h3 class="jobSectionHeader"><b>Qualifications</b></h3>
<ul><li><b>Education:</b> Bachelor&rsquo;s degree in Human Resources, Business Administration, or a related field.</li></ul>
<h3 class="jobSectionHeader"><b>Experience</b></h3>
<ul><li>1&ndash;2 years of experience in an HR or administrative support role.</li></ul>
<h3 class="jobSectionHeader"><b>Skills &amp; Competencies</b></h3>
<ul><li>Basic knowledge of HR functions; knowledge of Kuwait labor law is a plus.</li><li>
Excellent communication and interpersonal skills.</li><li>
Detail-oriented with strong organizational abilities.</li><li>
Ability to handle confidential and sensitive information.</li><li>
Proficiency in MS Office (Word, Excel) and familiarity with HR software.</li><li>
Team player with a willingness to learn.</li></ul></div>
