This critical role reports directly to the Jr. Accountant/Office Manager and serves as a cornerstone in providing comprehensive administrative support and specialized bookkeeping and payroll processing for our diverse client base. The successful candidate will play a vital role in maintaining client satisfaction while supporting our continued growth and reputation for exceptional service delivery.ResponsibilitiesAdministrative Support <ul><li>Answer incoming phone calls and direct to appropriate staff members</li><li>Manage email correspondence and respond to client inquiries in a professional manner</li><li>Schedule client appointments and maintain calendars for multiple team members</li><li>Maintain organized filing systems for client documentation and records</li><li>Prepare and review reports and summaries for management</li><li>Assist with data entry, reconciliations, and financial record maintenance</li><li>Support month-end and year-end closing procedures for multiple client accounts</li><li>Coordinate with other departments to ensure seamless service delivery</li></ul>Payroll Specialist <ul><li>Process multi-client payrolls accurately and efficiently using various payroll software systems</li><li>Calculate wages, overtime, bonuses, commissions, and deductions in compliance with federal, state, and local regulations</li><li>Maintain detailed payroll records and ensure data integrity across all client accounts</li><li>Generate and distribute payroll reports, pay stubs, and tax documents</li><li>Process quarterly and year-end payroll tax filings and reporting</li><li>Stay current with changing payroll tax laws, regulations, and best practices</li><li>Conduct regular audits of payroll processes to ensure accuracy and compliance</li><li>Assist with IRS and state agency correspondence and inquiries</li><li>Maintain confidentiality of sensitive payroll and financial information</li></ul>Client Support &amp; Communication <ul><li>Serve as primary point of contact for client inquiries across all service areas including tax, accounting, payroll, bookkeeping, and business consultation</li><li>Provide exceptional customer service while addressing client questions and resolving issues across multiple service lines</li><li>Assist clients with service setup, document preparation, and process coordination for various financial services</li><li>Coordinate with clients on schedules, appointments, service delivery timelines, and compliance requirements</li></ul>Qualifications &amp; SkillsEducation &amp; Work Experience (Required)<ul><li>High school diploma or equivalent required</li><li>Minimum 1 year of administrative experience in a professional environment</li><li>Minimum 1 year of payroll and/or bookkeeping experience</li></ul>Technical Skills (Required) <ul><li>Expert proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Access)</li><li>Advanced skills in Microsoft Outlook for professional communication and scheduling</li><li>Experience with payroll software systems (QuickBooks, ADP, Paychex, or similar platforms)</li><li>Strong data entry skills with high level of accuracy and attention to detail</li><li>Basic understanding of accounting principles and bookkeeping practices</li></ul>Industry Knowledge <ul><li>Solid understanding of federal, state, and local payroll tax regulations</li><li>Knowledge of wage and hour laws, including FLSA compliance</li><li>Familiarity with employee benefits administration and deduction processing</li><li>Understanding of quarterly and annual payroll reporting requirements</li></ul>Essential Soft Skills <ul><li>Exceptional attention to detail and accuracy in high-volume environments</li><li>Strong analytical and problem-solving abilities</li><li>Excellent written and verbal communication skills</li><li>Ability to manage multiple priorities and meet strict deadlines</li><li>Professional demeanor with strong client service orientation</li><li>Discretion and integrity in handling confidential information</li><li>Adaptability and willingness to learn new systems and processes</li><li>Strong analytical skills to assess financial data effectively.</li><li>Ability to work collaboratively within a team environment while also being self-directed when necessary.</li><li>Strong organizational skills with attention to detail to manage multiple tasks efficiently.
