Job Overview
We are seeking a detail-oriented and experienced Accounting/Payroll Administrative Specialist to join our dynamic Payroll & Bookkeeping Department. This critical role reports directly to the Jr. Accountant/Office Manager and serves as a cornerstone in providing comprehensive administrative support and specialized bookkeeping and payroll processing for our diverse client base. The successful candidate will play a vital role in maintaining client satisfaction while supporting our continued growth and reputation for exceptional service delivery.
Responsibilities
Administrative Support
- Answer incoming phone calls and direct to appropriate staff members
- Manage email correspondence and respond to client inquiries in a professional manner
- Schedule client appointments and maintain calendars for multiple team members
- Maintain organized filing systems for client documentation and records
- Prepare and review reports and summaries for management
- Assist with data entry, reconciliations, and financial record maintenance
- Support month-end and year-end closing procedures for multiple client accounts
- Coordinate with other departments to ensure seamless service delivery
Payroll Specialist
- Process multi-client payrolls accurately and efficiently using various payroll software systems
- Calculate wages, overtime, bonuses, commissions, and deductions in compliance with federal, state, and local regulations
- Maintain detailed payroll records and ensure data integrity across all client accounts
- Generate and distribute payroll reports, pay stubs, and tax documents
- Process quarterly and year-end payroll tax filings and reporting
- Stay current with changing payroll tax laws, regulations, and best practices
- Conduct regular audits of payroll processes to ensure accuracy and compliance
- Assist with IRS and state agency correspondence and inquiries
- Maintain confidentiality of sensitive payroll and financial information
Client Support & Communication
- Serve as primary point of contact for client inquiries across all service areas including tax, accounting, payroll, bookkeeping, and business consultation
- Provide exceptional customer service while addressing client questions and resolving issues across multiple service lines
- Assist clients with service setup, document preparation, and process coordination for various financial services
- Coordinate with clients on schedules, appointments, service delivery timelines, and compliance requirements
Qualifications & Skills
Education & Work Experience (Required)
- High school diploma or equivalent required
- Minimum 1 year of administrative experience in a professional environment
- Minimum 1 year of payroll and/or bookkeeping experience
Technical Skills (Required)
- Expert proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Access)
- Advanced skills in Microsoft Outlook for professional communication and scheduling
- Experience with payroll software systems (QuickBooks, ADP, Paychex, or similar platforms)
- Strong data entry skills with high level of accuracy and attention to detail
- Basic understanding of accounting principles and bookkeeping practices
Industry Knowledge
- Solid understanding of federal, state, and local payroll tax regulations
- Knowledge of wage and hour laws, including FLSA compliance
- Familiarity with employee benefits administration and deduction processing
- Understanding of quarterly and annual payroll reporting requirements
