This position offers an exciting opportunity to be the backbone of our office environment, contributing to a professional and welcoming atmosphere for clients and staff alike.Responsibilities<ul><li>Greet visitors and clients warmly, managing front desk duties with professionalism and friendliness </li><li>Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette </li><li>Manage appointment scheduling and calendar coordination for staff members </li><li>Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools </li><li>Handle administrative tasks such as proofreading documents, managing correspondence, and organizing files </li><li>Assist with bookkeeping tasks including invoicing and basic QuickBooks data entry </li><li>Support office management activities by coordinating supplies, maintaining cleanliness, and ensuring efficient workflow</li></ul>Skills<ul><li>Proven experience in office administration or clerical roles with strong organizational skills </li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications </li><li>Familiarity with QuickBooks for bookkeeping and financial recordkeeping </li><li>Excellent communication skills in both English and bilingual capabilities (if applicable) </li><li>Strong computer literacy with the ability to adapt to new software quickly </li><li>Experience working at a front desk or as a receptionist in medical or dental settings is a plus </li><li>Outstanding customer service skills combined with professional phone etiquette </li><li>Ability to multitask efficiently while managing time effectively in a fast-paced environment </li><li>Attention to detail for proofreading documents and data entry accuracy </li><li>Personal assistant or medical receptionist experience is advantageous for supporting diverse office needs</li></ul>Join us as an Office Secretary where your organizational prowess and friendly demeanor will help create a positive environment for everyone.
