We are seeking a dynamic and highly organized Office Secretary to join our team! Responsibilities
- Greet visitors and clients warmly, managing front desk duties with professionalism and friendliness
- Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette
- Manage appointment scheduling and calendar coordination for staff members
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
- Handle administrative tasks such as proofreading documents, managing correspondence, and organizing files
- Assist with bookkeeping tasks including invoicing and basic QuickBooks data entry
- Support office management activities by coordinating supplies, maintaining cleanliness, and ensuring efficient workflow
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and financial recordkeeping
- Excellent communication skills in both English and bilingual capabilities (if applicable)
- Strong computer literacy with the ability to adapt to new software quickly
- Experience working at a front desk or as a receptionist in medical or dental settings is a plus
- Outstanding customer service skills combined with professional phone etiquette
- Ability to multitask efficiently while managing time effectively in a fast-paced environment
- Attention to detail for proofreading documents and data entry accuracy
- Personal assistant or medical receptionist experience is advantageous for supporting diverse office needs
