This paid position is perfect for someone eager to thrive in a fast-paced environment and make a meaningful impact through their organizational skills.Responsibilities<ul><li>Handle all incoming communications via multi-line phone systems, ensuring prompt and professional responses while maintaining excellent phone etiquette.</li><li>Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with accuracy and attention to detail.</li><li>Organize and maintain filing systems&mdash;both digital and physical&mdash;to ensure quick retrieval of information and compliance with record-keeping standards.</li><li>Assist with event planning for company meetings, conferences, or special events from logistics to execution.</li><li>Support bookkeeping tasks using QuickBooks or similar accounting software, including data entry, invoicing, expense tracking, and basic bookkeeping duties.</li><li>Facilitate project coordination by tracking deadlines, preparing agendas, taking meeting minutes, and following up on action items.</li><li>Provide office management support by overseeing supply inventories, coordinating maintenance requests, and managing front desk responsibilities such as greeting visitors.</li><li>Utilize office software tools like Microsoft Office Suite (Word, Excel, PowerPoint) for creating reports and presentations.</li><li>Conduct proofreading of documents to ensure clarity, accuracy, and professionalism before distribution.</li><li>Perform clerical tasks such as filing, data entry, transcription services, and managing office correspondence efficiently.</li><li>Demonstrate excellent customer service skills when interacting with clients or visitors in person or via phone or email.</li></ul>Requirements<ul><li>Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical duties.</li><li>Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with DocuSign for electronic signatures.</li><li>Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.</li><li>Strong typing skills coupled with excellent proofreading and transcription abilities to produce accurate documents swiftly.</li><li>Experience with calendar management tools such as Microsoft Outlook Calendar and Google Calendar is essential.</li><li>Knowledge of QuickBooks or similar bookkeeping software for handling basic financial transactions is preferred.</li><li>Excellent communication skills with professional phone etiquette across multi-line phone systems.</li><li>Ability to handle sensitive information discreetly while maintaining confidentiality at all times.</li><li>Strong attention to detail combined with problem-solving skills to anticipate needs proactively.</li><li>Office experience including front desk responsibilities&mdash;greeting visitors and managing general inquiries&mdash;is highly valued.</li><li>Familiarity with project coordination techniques to assist in managing multiple priorities seamlessly.</li><li>A proactive attitude coupled with the flexibility to adapt quickly to changing priorities will ensure success in this role.
