Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional administrative support to our leadership. Responsibilities

  • Handle all incoming communications via multi-line phone systems, ensuring prompt and professional responses while maintaining excellent phone etiquette.
  • Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with accuracy and attention to detail.
  • Organize and maintain filing systems—both digital and physical—to ensure quick retrieval of information and compliance with record-keeping standards.
  • Assist with event planning for company meetings, conferences, or special events from logistics to execution.
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including data entry, invoicing, expense tracking, and basic bookkeeping duties.
  • Facilitate project coordination by tracking deadlines, preparing agendas, taking meeting minutes, and following up on action items.
  • Provide office management support by overseeing supply inventories, coordinating maintenance requests, and managing front desk responsibilities such as greeting visitors.
  • Utilize office software tools like Microsoft Office Suite (Word, Excel, PowerPoint) for creating reports and presentations.
  • Conduct proofreading of documents to ensure clarity, accuracy, and professionalism before distribution.
  • Perform clerical tasks such as filing, data entry, transcription services, and managing office correspondence efficiently.
  • Demonstrate excellent customer service skills when interacting with clients or visitors in person or via phone or email.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical duties.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with DocuSign for electronic signatures.
  • Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong typing skills coupled with excellent proofreading and transcription abilities to produce accurate documents swiftly.
  • Experience with calendar management tools such as Microsoft Outlook Calendar and Google Calendar is essential.
  • Knowledge of QuickBooks or similar bookkeeping software for handling basic financial transactions is preferred.
  • Excellent communication skills with professional phone etiquette across multi-line phone systems.
  • Ability to handle sensitive information discreetly while maintaining confidentiality at all times.
  • Strong attention to detail combined with problem-solving skills to anticipate needs proactively.
  • Office experience including front desk responsibilities—greeting visitors and managing general inquiries—is highly valued.
  • Familiarity with project coordination techniques to assist in managing multiple priorities seamlessly.
