Position SummaryAshton Business Consulting is seeking a highly organized, detail-oriented Administrative Assistant to support daily office operations, client communications, marketing initiatives, accounts receivable collections, and various administrative functions. The ideal candidate is a self-starter who can effectively manage multiple priorities while providing exceptional customer service and maintaining a professional image for the firm.Key ResponsibilitiesAdministrative Support<ul><li>Answer and direct incoming phone calls and emails.</li><li>Schedule appointments and manage calendars.</li><li>Maintain client records and electronic filing systems.</li><li>Prepare correspondence, reports, forms, and other business documents.</li><li>Assist with onboarding new clients and maintaining client information.</li><li>Order office supplies and coordinate office administrative needs.</li><li>Support management with special projects and miscellaneous tasks.</li></ul>Marketing &amp; Business Development<ul><li>Manage and update company social media accounts and business profiles.</li><li>Create and distribute marketing materials, newsletters, and client communications.</li><li>Assist with website updates and content development.</li><li>Coordinate client appreciation events and promotional campaigns.</li><li>Track marketing activities and assist with lead generation efforts.</li><li>Monitor online reviews and maintain the firm's professional presence.</li></ul>Accounts Receivable &amp; Collections<ul><li>Monitor outstanding client invoices and accounts receivable balances.</li><li>Contact clients regarding past-due invoices through phone calls, emails, and written correspondence.</li><li>Maintain accurate collection notes and payment arrangements.</li><li>Prepare aging reports and provide updates to management.</li><li>Assist clients with billing inquiries and payment processing.</li></ul>Client Service<ul><li>Serve as a primary point of contact for clients.</li><li>Provide exceptional customer service and maintain professional client relationships.</li><li>Route client requests to appropriate staff members.</li><li>Follow up on client inquiries and outstanding requests.</li></ul>Additional Duties<ul><li>Assist with payroll, bookkeeping, and administrative projects as assigned.</li><li>Support compliance, registration, and licensing activities.</li><li>Coordinate meetings, training sessions, and company events.</li><li>Perform other duties as needed to support the firm's growth and operations.</li></ul>QualificationsRequired<ul><li>High school diploma or equivalent.</li><li>Minimum 2 years of administrative or office experience.</li><li>Strong verbal and written communication skills.</li><li>Excellent organizational and time management abilities.</li><li>Proficiency with Microsoft Office (Word, Excel, Outlook).</li><li>Ability to maintain confidentiality and professionalism.</li></ul>Preferred<ul><li>Experience working in an accounting, bookkeeping, tax, or professional services environment.</li><li>Experience with QuickBooks and CRM software.</li><li>Marketing, social media management, or collections experience.</li><li>Associate's degree or higher.</li></ul>Desired Skills<ul><li>Strong attention to detail.</li><li>Ability to multitask in a fast-paced environment.</li><li>Customer-service mindset.</li><li>Problem-solving and critical-thinking abilities.</li><li>Ability to work independently with minimal supervision.</li></ul>Pay: $15.00 per hourWork Location: Remote
