We work alongside our clients as partners, helping them navigate growth, solve operational challenges, and build sustainable financial practices.Our Core Values<ul><li>We meet clients where they are - We provide practical, approachable support that adapts to each client&rsquo;s needs and level of financial understanding.</li><li>We prioritize clarity over complexity - We believe financial information should be accurate, organized, and easy to understand.</li><li>We take ownership - We follow through on commitments, communicate proactively, and hold ourselves accountable to high standards.</li><li>We build strong relationships - We value trust, responsiveness, and consistency in both client and team interactions.</li><li>We are always improving - We refine our processes, embrace better tools, and continuously look for ways to work smarter.</li></ul>Position SummaryThe Accounts Payable and Accounts Receivable Specialist supports Aura&rsquo;s accounting team by managing vendor bill processing, customer invoicing, billing inbox coordination, and payment tracking for assigned client accounts.This role is responsible for owning day-to-day AP/AR execution, including clearing billing inboxes, maintaining accurate transaction records, supporting vendor and customer communication, and monitoring outstanding balances.The AP/AR Specialist plays a key role in ensuring that financial activity is organized, timely, and well-documented, allowing the accounting team to complete reconciliations and month-end close efficiently.This is a part-time remote role, initially expected to require approximately 10 hours per week, with potential to grow as client needs expand.Core ResponsibilitiesBilling Inbox Management (Critical Function)<ul><li>Monitor and clear all emails from assigned client billing and invoicing inboxes</li><li>Review incoming vendor invoices, customer payments, and requests daily during working hours</li><li>Categorize and route emails appropriately (bill entry, client follow-up, internal escalation)</li><li>Maintain organized inbox structure (folders, read/unread status, tracking)</li><li>Ensure no billing-related communication is left unaddressed</li></ul>Accounts Payable (AP)<ul><li>Enter vendor bills and attach supporting documentation in the accounting system</li><li>Track vendor due dates and maintain accurate AP aging reports</li><li>Prepare payment batches for client approval</li><li>Assist with payment processing through approved platforms</li><li>Reconcile vendor statements and identify discrepancies</li><li>Follow up with vendors or clients to obtain missing invoices</li><li>Support vendor communication for balance tracking and clarification</li></ul>Accounts Receivable (AR)<ul><li>Generate and distribute customer invoices when requested</li><li>Record and apply incoming payments accurately</li><li>Maintain AR aging reports and monitor outstanding balances</li><li>Perform AR follow-ups, including sending payment reminders and tracking responses</li><li>Support balance chasing efforts in coordination with the client and accounting team</li><li>Document all communication related to outstanding invoices</li></ul>Transaction Coordination &amp; Documentation<ul><li>Ensure all transactions are properly documented and categorized</li><li>Maintain clear internal notes to support reconciliation and close processes</li><li>Flag discrepancies, unusual balances, or missing information</li><li>Escalate unresolved issues to the Accounting Manager or Accounting Associate</li><li>Support timely processing to align with monthly close deadlines</li></ul>Service Delivery ExpectationsThe AP/AR Specialist is expected to:<ul><li>Maintain consistent daily oversight of billing inboxes during working hours</li><li>Ensure all billing-related communication is addressed in a timely manner</li><li>Keep AP and AR records accurate and up to date</li><li>Follow Aura&rsquo;s documentation and workflow standards</li><li>Communicate professionally with vendors and customers</li><li>Support AR follow-up efforts without requiring constant escalation</li><li>Identify and flag issues proactively</li></ul>Responsiveness Standard: This role is expected to be responsive during standard working hours. Immediate responses are not required, but consistent same-day or next-business-day handling of items is expected.Scope of RoleThis role focuses on execution and coordination, not accounting analysis.
