About the RoleWe&rsquo;re looking for an Operations Coordinator to own the handoff from Sales to Field Operations and ensure every job is accurate, scheduled efficiently, and executed on time.This is a high-impact role at the center of our operation&mdash;working across Sales, Warehouse, and Field Teams while serving as the primary coordinator for our customers from project kickoff through completion.If you&rsquo;re organized, decisive, and thrive in fast-paced environments where priorities shift daily, you&rsquo;ll do well here.What You&rsquo;ll DoDeal Validation<ul><li>Review closed-won deals for accuracy (scope, materials, pricing)</li><li>Coordinate with Sales to resolve discrepancies before scheduling</li></ul>Customer Coordination<ul><li>Make welcome calls to set expectations</li><li>Schedule installs and manage reschedules</li><li>Keep customers informed throughout the process</li></ul>Scheduling &amp; Dispatch<ul><li>Align customer availability with technician capacity</li><li>Optimize schedules to maximize field productivity</li><li>Ensure jobs are fully ready prior to dispatch</li></ul>Cross-Functional Ops<ul><li>Partner with Field Ops to ensure job clarity and execution</li><li>Coordinate with Warehouse to confirm product availability</li><li>Bridge gaps between Sales, Ops, and Warehouse</li></ul>Repairs &amp; Real-Time Adjustments<ul><li>Schedule repairs and handle day-of changes (cancellations, early completions)</li><li>Quickly redeploy technicians to open capacity</li></ul>Systems &amp; Data<ul><li>Own job data in HubSpot (CRM)</li><li>Track workflows in Google Sheets</li><li>Maintain clean, accurate records for reporting</li></ul>What Success Looks Like<ul><li>Accurate jobs launched with minimal rework</li><li>High technician utilization and on-time installs</li><li>Fast recovery from schedule changes</li><li>Strong customer experience (clear communication, low friction)</li></ul>Requirements<ul><li>2+ years in operations coordination, dispatch, scheduling, or logistics</li><li>Strong organizational skills and attention to detail</li><li>Ability to manage multiple priorities and make decisions quickly</li><li>Excellent communication skills (phone + written)</li><li>Experience with CRM tools (HubSpot preferred) and Google Sheets</li></ul>Why This Role MattersThis role directly impacts revenue, field team productivity, and customer experience.
