Operations Coordinator

About the Role

We’re looking for an Operations Coordinator to own the handoff from Sales to Field Operations and ensure every job is accurate, scheduled efficiently, and executed on time.

This is a high-impact role at the center of our operation—working across Sales, Warehouse, and Field Teams while serving as the primary coordinator for our customers from project kickoff through completion.

What You’ll Do

Deal Validation

  • Review closed-won deals for accuracy (scope, materials, pricing)
  • Coordinate with Sales to resolve discrepancies before scheduling

Customer Coordination

  • Make welcome calls to set expectations
  • Schedule installs and manage reschedules
  • Keep customers informed throughout the process

Scheduling & Dispatch

  • Align customer availability with technician capacity
  • Optimize schedules to maximize field productivity
  • Ensure jobs are fully ready prior to dispatch

Cross-Functional Ops

  • Partner with Field Ops to ensure job clarity and execution
  • Coordinate with Warehouse to confirm product availability
  • Bridge gaps between Sales, Ops, and Warehouse

Repairs & Real-Time Adjustments

  • Schedule repairs and handle day-of changes (cancellations, early completions)
  • Quickly redeploy technicians to open capacity

Systems & Data

  • Own job data in HubSpot (CRM)
  • Track workflows in Google Sheets
  • Maintain clean, accurate records for reporting

  • Accurate jobs launched with minimal rework
  • High technician utilization and on-time installs
  • Fast recovery from schedule changes
  • Strong customer experience (clear communication, low friction)

Requirements

  • 2+ years in operations coordination, dispatch, scheduling, or logistics
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and make decisions quickly
  • Excellent communication skills (phone + written)
  • Experience with CRM tools (HubSpot preferred) and Google Sheets

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year
