This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace culture.Responsibilities<ul><li>Greet visitors, clients, and vendors with professionalism and warmth, managing front desk duties efficiently </li><li>Operate multi-line phone systems, answer inquiries, direct calls, and provide excellent customer service </li><li>Manage appointment scheduling and calendar coordination for staff members using digital tools like Google Workspace and Microsoft Office </li><li>Perform data entry, filing, and document proofreading to maintain accurate records and support office workflows </li><li>Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail </li><li>Assist with basic bookkeeping tasks using QuickBooks or similar accounting software </li><li>Support office management tasks such as supply inventory, organizing files, and maintaining a clean, organized workspace</li></ul>Skills<ul><li>Proven experience in office administration or clerical roles with strong organizational skills </li><li>Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications </li><li>Familiarity with multi-line phone systems and phone etiquette to ensure professional communication </li><li>Bilingual abilities are highly valued to assist diverse clients and team members effectively </li><li>Strong typing skills coupled with attention to detail for accurate data entry and proofreading </li><li>Customer service experience with a friendly demeanor and problem-solving mindset </li><li>Knowledge of office management procedures such as filing systems, calendar management, and basic bookkeeping (QuickBooks preferred) </li><li>Ability to prioritize tasks efficiently with excellent time management skills </li><li>Previous experience as a receptionist or personal assistant is advantageous; experience in medical or dental reception is a plus</li></ul>Join us in creating a positive work environment where your organizational talents shine!
