Responsibilities

  • Greet visitors, clients, and vendors with professionalism and warmth, managing front desk duties efficiently
  • Operate multi-line phone systems, answer inquiries, direct calls, and provide excellent customer service
  • Manage appointment scheduling and calendar coordination for staff members using digital tools like Google Workspace and Microsoft Office
  • Perform data entry, filing, and document proofreading to maintain accurate records and support office workflows
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management tasks such as supply inventory, organizing files, and maintaining a clean, organized workspace

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi-line phone systems and phone etiquette to ensure professional communication
  • Bilingual abilities are highly valued to assist diverse clients and team members effectively
  • Strong typing skills coupled with attention to detail for accurate data entry and proofreading
  • Customer service experience with a friendly demeanor and problem-solving mindset
  • Knowledge of office management procedures such as filing systems, calendar management, and basic bookkeeping (QuickBooks preferred)
  • Ability to prioritize tasks efficiently with excellent time management skills
  • Previous experience as a receptionist or personal assistant is advantageous; experience in medical or dental reception is a plus
