Overview We are seeking a dedicated and detail-oriented Ophthalmic Technician / Scribe to join our dynamic ophthalmology practice. The successful applicant will be responsible for assisting with patient intake, recording clinical notes, and ensuring the smooth operation of daily clinic activities.Responsibilities<ul><li>Perform patient intake procedures, including collecting medical histories and updating electronic health records (EHR) systems such as Epic and other EMR platforms.</li><li>Measure vital signs accurately and document findings to assist physicians in diagnosing ocular conditions.</li><li>Assist with ophthalmic examinations by preparing patients and handling specialized equipment, ensuring proper aseptic technique is maintained at all times.</li><li>Support physicians during procedures by documenting clinical notes precisely and efficiently as a scribe.</li><li>Maintain patient confidentiality in accordance with HIPAA regulations and ensure secure handling of medical records.</li><li>Conduct basic optical assessments and assist with vision testing, including refraction and visual acuity measurements.</li><li>Manage front desk responsibilities such as scheduling appointments, verifying insurance information, and performing retail sales of optical products when necessary.</li><li>Support clinic operations by maintaining organized medical records, managing inventory of ophthalmic supplies, and assisting with billing or coding tasks related to ophthalmology services.</li><li>Demonstrate knowledge of anatomy, physiology, medical terminology, and ophthalmic procedures to effectively communicate with patients and team members.</li></ul>Requirements<ul><li>Prior experience in medical office settings, particularly within ophthalmology or optometry clinics, is highly desirable.</li><li>Strong understanding of HIPAA regulations and commitment to maintaining patient privacy and confidentiality.</li><li>Proficiency in taking vital signs, conducting intake assessments, and documenting clinical encounters accurately.</li><li>Knowledge of aseptic techniques and infection control protocols essential for maintaining a sterile environment during procedures.</li><li>Familiarity with optical equipment, vision testing methods, and ophthalmic terminology is preferred.</li><li>Experience working with EMR systems such as Epic or similar platforms; familiarity with medical coding and billing processes is a plus.</li><li>Excellent organizational skills with the ability to multitask efficiently in a busy clinic setting.</li><li>Strong communication skills to interact effectively with patients, physicians, and staff from diverse backgrounds.</li><li>Basic retail math skills for optical sales transactions; previous retail sales experience can be advantageous but is not mandatory.</li><li>A background in physiology, anatomy, or related health sciences enhances understanding of ocular health concepts. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a comprehensive understanding of medical administrative support. In this role, you will be responsible for coordinating patient appointments efficiently, managing scheduling systems, and ensuring seamless communication between patients and healthcare providers. Your expertise in medical office management and familiarity with electronic health record (EHR) systems will be essential to providing outstanding patient service and supporting clinical operations.Responsibilities<ul><li>Schedule patient appointments accurately using various EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. </li><li>Verify insurance coverage and perform insurance verification to facilitate smooth billing processes. </li><li>Manage appointment calendars for multiple providers, ensuring optimal utilization of clinic resources. </li><li>Communicate effectively with patients via phone and other channels, demonstrating professional phone etiquette and customer service skills. </li><li>Review medical documentation, care plans, and medical records to ensure completeness and accuracy prior to appointments. </li><li>Assist with administrative tasks such as filing, data entry, and maintaining organized medical records in compliance with HIPAA regulations. </li><li>Coordinate with clinical staff to facilitate patient intake, follow-up scheduling, and rescheduling as needed. </li><li>Utilize computer skills including Microsoft Office applications and specialized dental or medical office management software like Eaglesoft or Dentrix. </li><li>Support front desk operations by managing multi-line phone systems, greeting patients, and providing exceptional patient service. </li><li>Ensure compliance with HIPAA standards during all documentation review and data handling activities. </li><li>Perform insurance verification for various plans including Medicare and Medicaid to ensure accurate billing and reimbursement.</li></ul>Experience<ul><li>Proven experience in medical scheduling or administrative support within a healthcare setting, preferably in clinics or dental offices. </li><li>Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, or Eaglesoft is highly desirable. </li><li>Knowledge of medical terminology, CPT coding, ICD-9/10 coding, and medical billing procedures to assist with documentation review and coding accuracy. </li><li>Previous clinic or hospital experience demonstrating proficiency in appointment management and patient service delivery. </li><li>Strong clerical skills including filing, data entry (10 key typing), and maintaining organized records in accordance with healthcare regulations. </li><li>Bilingual abilities are a plus to serve diverse patient populations effectively. </li><li>Experience working with insurance companies for verification purposes and understanding of Medicare policies is advantageous.
