Job Title: Sales Administrative AssistantJob Summary: We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support, managing office tasks, and ensuring the smooth operation of our office.Duties: Close Tickets&middot; Ensure invoices are closed within 48 hours. If not closed within that timeframe, follow up with salesmen to gather additional required information to close tickets.&middot; Gain an understanding of billing requirements for top customers.o Put together a fleet profile book with each customer&rsquo;s requirements.&middot; Learn the requirements for processing national account delivery receipts (Goodyear, Michelin, etc.). Get an understanding of what is needed to close a national account delivery receipt and ensure that proper codes are being used.&middot; Use online portals to gather POs for fleet management companies: Auto Integrate website for processing Element, Enterprise, Donlen, Lease plan, MK and other vendors on that website, ARI/Holman (Automotive rentals), Arriba etc.&middot; Close Michelin and Goodyear calls using the Fleet HQ and Michelin Oncall systems.&middot; Rejects/Chargebacks: If a DR is returned to us for any reason, investigate immediately and resubmit payment.&middot; Process Government support tickets (GS Forms), using Michelinb2b and Goodyear tire HQ.3Daily Register&middot; Fill out end of day reports for accounting, balance tender accounts, verify cash on hand is accurate.&middot; Schedule bank deposit.&middot; Review Invoice register to ensure all invoices from prior day are filed with support documents for that day. File for future access.Misc. Duties&middot; Assist Dispatch with building tickets for road calls.&middot; Assist Accounts payable with Docuware uploads when necessary.&middot; Assist Accounts receivable with collections when necessary.&middot; Assistant manager with receiving inventory to stock.This position offers the opportunity to work in a dynamic environment where your skills will be valued.
