POSITION OVERVIEW SUMMARY: The Benton-Franklin Workforce Development Council (BFWDC) is seeking a highly motivated and detail-oriented Operations &amp; Development Coordinator to provide comprehensive operations support to executive leadership, coordinate Board operations, and contribute directly to fundraising efforts through grant research and proposals support. This unique role blends high-level administrative coordination with responsibilities in grant development, event planning, and community engagement, playing a key role in advancing BFWDC&rsquo;s mission to strengthen workforce development in Benton and Franklin Counties.The ideal candidate is a skilled communicator, experienced in working with boards and public officials, and confident in producing high-quality written materials for external audiences, including funders and stakeholders.MAJOR DUTIES AND RESPONSIBILITIES:Executive and Administrative Support <ul><li>Provide high-level administrative support to the Executive Director and senior leadership.</li><li>Manage calendars, travel, and internal communications; prepare reports, presentations, and meeting materials.</li><li>Coordinate logistics for staff meetings, board functions, and executive events.</li><li>Maintain organized electronic and paper filing systems, including sensitive and confidential materials.</li><li>Act as a liaison between executive leadership, board members, and external partners.</li><li>Assist in daily office operations including supply procurement, vendor coordination, mail handling, and facilities communication.</li></ul>Board Functions <ul><li>Lead administrative functions related to Board and committee activities:</li><li>Schedule and coordinate meetings, draft agendas, develop packets, and prepare formal minutes using Robert&rsquo;s Rules of Order.</li><li>Maintain Board records, terms, appointments, attendance, and compliance with bylaws and state regulations.</li><li>Manage the Board Portal, onboard new members, and ensure consistent communication with Commissioners and Board Assistants.</li><li>Coordinate resolutions with the county, applications, and Board member transitions in compliance with state and local policies.</li></ul>Grant Writing Support &amp; Fund Development<ul><li>Identify, research, and track grant opportunities from public and private sources aligned with BFWDC&rsquo;s goals.</li><li>Help draft compelling grant proposals and letters of inquiry in collaboration with BFWDC staff.</li><li>Support post-award grant administration by tracking deadlines, collecting program data, and assisting with progress reports.</li><li>Maintain accurate records of submitted proposals, funding status, and correspondence with funders.</li></ul>Event Planning &amp; Coordination<ul><li>Plan, coordinate, and execute BFWDC sponsored events, including board retreats, public meetings, and community events.</li><li>Handle all event logistics: venue selection, budgeting, vendor coordination, catering, guest communications, and on-site execution.</li><li>Collaborate with staff and community partners to ensure strategic alignment and strong community engagement.</li><li>Track event-related expenses and performance metrics to evaluate effectiveness.</li></ul>Branding and Social Media Functions <ul><li>Serve as BFWDC&rsquo;s Brand and Media Designee to support social media management and public messaging.</li><li>Update website content and create social media posts in alignment with the BFWDC initiatives.</li><li>Coordinate media releases and external communications in partnership with staff and WorkSource system leadership.</li></ul>WorkSource Columbia Basin Functions<ul><li>Assist the WorkSource System Coordinator with facility maintenance coordination, and media distribution.</li><li>Support cross-functional teams as needed to maintain smooth operations at partner sites.</li></ul>ADDITIONAL REQUIREMENTS/KNOWLEDGE/SKILLS/ABILITIES/ATTRIBUTES<ul><li>Ability to exercise professional discretion and handle sensitive or confidential information,</li><li>Communicate professionally and effectively with Board Members and community members,</li><li>Excellent organizational skills with the ability to balance priorities and meet deadlines,</li><li>Ability to evaluate current processes and conduct research to propose changes to increase efficiency,</li><li>Positive, professional demeanor when interacting with employees, Board Members, vendors, and other stakeholders,</li><li>Thorough and accurate, with attention to detail and quality assurance focused,</li><li>Self-starter, flexible, and resourceful, with a proactive approach to problem-solving,</li><li>Ability to complete routine assignments with minimal supervision and consistency,</li><li>Comfortable utilizing social media platforms and obtaining media release authorizations,</li><li>Properly licensed and insured vehicle as well as a valid driver&rsquo;s license required,</li><li>The position may require some travel, with most being within the BFWDC region.</li></ul>EDUCATION/EXPERIENCE<ul><li>Bachelor&rsquo;s degree in business administration, communications, public relations, or a related field preferred.</li><li>Minimum of 3 years&rsquo; experience as an executive assistant, with demonstrated grant writing and event planning expertise.</li><li>Proficiency with office systems and procedures, as well as operation of standard office equipment</li><li>Must be computer literate with advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, SharePoint, and Outlook), Adobe, DocuSign, and virtual conferencing (Teams/Zoom)</li><li>Professional written and verbal communication skills;
