POSITION OVERVIEW SUMMARY:
The Benton-Franklin Workforce Development Council (BFWDC) is seeking a highly motivated and detail-oriented Operations & Development Coordinator to provide comprehensive operations support to executive leadership, coordinate Board operations, and contribute directly to fundraising efforts through grant research and proposals support. This unique role blends high-level administrative coordination with responsibilities in grant development, event planning, and community engagement, playing a key role in advancing BFWDC’s mission to strengthen workforce development in Benton and Franklin Counties.
The ideal candidate is a skilled communicator, experienced in working with boards and public officials, and confident in producing high-quality written materials for external audiences, including funders and stakeholders.
MAJOR DUTIES AND RESPONSIBILITIES:
Executive and Administrative Support
- Provide high-level administrative support to the Executive Director and senior leadership.
- Manage calendars, travel, and internal communications; prepare reports, presentations, and meeting materials.
- Coordinate logistics for staff meetings, board functions, and executive events.
- Maintain organized electronic and paper filing systems, including sensitive and confidential materials.
- Act as a liaison between executive leadership, board members, and external partners.
- Assist in daily office operations including supply procurement, vendor coordination, mail handling, and facilities communication.
Board Functions
- Lead administrative functions related to Board and committee activities:
- Schedule and coordinate meetings, draft agendas, develop packets, and prepare formal minutes using Robert’s Rules of Order.
- Maintain Board records, terms, appointments, attendance, and compliance with bylaws and state regulations.
- Manage the Board Portal, onboard new members, and ensure consistent communication with Commissioners and Board Assistants.
- Coordinate resolutions with the county, applications, and Board member transitions in compliance with state and local policies.
Grant Writing Support & Fund Development
- Identify, research, and track grant opportunities from public and private sources aligned with BFWDC’s goals.
- Help draft compelling grant proposals and letters of inquiry in collaboration with BFWDC staff.
- Support post-award grant administration by tracking deadlines, collecting program data, and assisting with progress reports.
- Maintain accurate records of submitted proposals, funding status, and correspondence with funders.
Event Planning & Coordination
- Plan, coordinate, and execute BFWDC sponsored events, including board retreats, public meetings, and community events.
- Handle all event logistics: venue selection, budgeting, vendor coordination, catering, guest communications, and on-site execution.
- Collaborate with staff and community partners to ensure strategic alignment and strong community engagement.
- Track event-related expenses and performance metrics to evaluate effectiveness.
Branding and Social Media Functions
- Serve as BFWDC’s Brand and Media Designee to support social media management and public messaging.
- Update website content and create social media posts in alignment with the BFWDC initiatives.
- Coordinate media releases and external communications in partnership with staff and WorkSource system leadership.
WorkSource Columbia Basin Functions
- Assist the WorkSource System Coordinator with facility maintenance coordination, and media distribution.
- Support cross-functional teams as needed to maintain smooth operations at partner sites.

- Thorough and accurate, with attention to detail and quality assurance focused,
- Self-starter, flexible, and resourceful, with a proactive approach to problem-solving,
- Ability to complete routine assignments with minimal supervision and consistency,
- Comfortable utilizing social media platforms and obtaining media release authorizations,
- Properly licensed and insured vehicle as well as a valid driver’s license required,
- The position may require some travel, with most being within the BFWDC region.
EDUCATION/EXPERIENCE
- Bachelor’s degree in business administration, communications, public relations, or a related field preferred.
- Minimum of 3 years’ experience as an executive assistant, with demonstrated grant writing and event planning expertise.
- Proficiency with office systems and procedures, as well as operation of standard office equipment
- Must be computer literate with advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, SharePoint, and Outlook), Adobe, DocuSign, and virtual conferencing (Teams/Zoom)
- Professional written and verbal communication skills; experience in collaborating effectively in a team environment.

Pay: $27.00 - $35.00 per hour
