Job OverviewThis position will be part-time (approximately 25-30 hours/week). Hours may vary, but will likely be 7-1 or 2 Monday-Thursday with the possibility of a shorter/flexible Friday schedule. There may be occasional times where working later is needed to help cover for other receptionists.This is for the Beyond Limits Physical Therapy - City Center ClinicWe are seeking a highly organized Office Manager to oversee daily office operations to help ensure our patients have a smooth, positive experience. This pivotal role involves managing our receptionists, coordinating communication between our billing office, patients &amp; employees. It includes supporting team members to foster productivity and professionalism. The ideal candidate will bring a background in (or significant understanding of) health insurance, a proactive attitude, excellent organizational skills, and a passion for creating a welcoming office atmosphere. This integral position offers an exciting opportunity to contribute to the overall success of our clinic.Duties<ul><li>Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette</li><li>Help to ensure that authorization for physical therapy is achieved as seamlessly as possible for continuity of care</li><li>Perform a list of daily tasks, as well as weekly tasks to help prevent gaps in our patient care &amp; ensure services are covered by payers</li><li>Help to coordinate receptionist schedule</li><li>Provide exceptional customer service by communicating with patients promptly and courteously</li><li>Perform clerical duties such as copying, scanning, filing, and managing office supplies to keep operations running smoothly</li></ul>Skills<ul><li>Experience with health insurance is strongly preferred (with a minimum strong understanding required)</li><li>Experience in office management or administrative roles with strong organizational skills</li><li>Strong multitasking abilities</li><li>Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications</li><li>Excellent computer literacy with the ability to adapt to various software platforms quickly</li><li>Strong multitasking abilities with effective time management skills to prioritize tasks efficiently</li><li>Bilingual capabilities are highly desirable to support diverse client needs and internal communication</li><li>Experience with front desk operations and customer support roles such as dental or medical receptionist preferred</li><li>Exceptional phone etiquette/customer service</li><li>Compassionate team-player</li><li>Flexibility to trade/cover for other receptionists when needed</li></ul>Join us as an Office Manager and become a vital part of our dynamic team!
