Office Manager - Beyond Limits Physical Therapy

Job Overview

This position will be part-time (approximately 25-30 hours/week). Hours may vary, but will likely be 7-1 or 2 Monday-Thursday with the possibility of a shorter/flexible Friday schedule. There may be occasional times where working later is needed to help cover for other receptionists.

We are seeking a highly organized Office Manager to oversee daily office operations to help ensure our patients have a smooth, positive experience. This pivotal role involves managing our receptionists, coordinating communication between our billing office, patients & employees. It includes supporting team members to foster productivity and professionalism. The ideal candidate will bring a background in (or significant understanding of) health insurance, a proactive attitude, excellent organizational skills, and a passion for creating a welcoming office atmosphere. This integral position offers an exciting opportunity to contribute to the overall success of our clinic.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
  • Help to ensure that authorization for physical therapy is achieved as seamlessly as possible for continuity of care
  • Perform a list of daily tasks, as well as weekly tasks to help prevent gaps in our patient care & ensure services are covered by payers
  • Help to coordinate receptionist schedule
  • Provide exceptional customer service by communicating with patients promptly and courteously
  • Perform clerical duties such as copying, scanning, filing, and managing office supplies to keep operations running smoothly

Skills

  • Experience with health insurance is strongly preferred (with a minimum strong understanding required)
  • Experience in office management or administrative roles with strong organizational skills
  • Strong multitasking abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy with the ability to adapt to various software platforms quickly
  • Strong multitasking abilities with effective time management skills to prioritize tasks efficiently
  • Bilingual capabilities are highly desirable to support diverse client needs and internal communication
  • Experience with front desk operations and customer support roles such as dental or medical receptionist preferred
  • Exceptional phone etiquette/customer service
  • Compassionate team-player
  • Flexibility to trade/cover for other receptionists when needed
