Job Summary We are seeking a dynamic and highly organized Secretary to join our team! The ideal candidate is proactive, and possesses strong office management skills to handle a variety of clerical and customer service tasks with enthusiasm and professionalism.Duties<ul><li>Operate multi-line phone systems efficiently, directing calls accurately and courteously while practicing excellent phone etiquette.</li><li>Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records.</li><li>Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools.</li><li>Provide exceptional customer support by addressing inquiries promptly via phone or email, offering helpful information or redirecting as needed.</li><li>Assist with office management tasks such as supply ordering, maintaining cleanliness, and organizing files for easy retrieval.</li><li>Perform clerical duties including typing correspondence, preparing reports, and managing incoming/outgoing mail.</li><li>Offer personal assistant support for executives or team members as required, including travel arrangements or special project coordination.</li><li>Maintain a professional environment by adhering to office policies and demonstrating excellent time management skills.</li></ul>Skills<ul><li>Proven experience in office administration or clerical roles with strong organizational skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.</li><li>Familiarity with QuickBooks for basic bookkeeping tasks is a plus.</li><li>Excellent communication skills in at least two languages (bilingual preferred), with strong phone etiquette.</li><li>Demonstrated ability to manage multi-line phone systems efficiently while maintaining professionalism.</li><li>Strong typing skills with high accuracy; capable of proofreading documents effectively.</li><li>Experience in customer service roles with a focus on customer support and problem resolution.</li><li>Knowledge of office management procedures including filing systems, data entry, and calendar management.</li><li>Ability to handle sensitive information discreetly with high levels of confidentiality.</li><li>Exceptional time management skills to prioritize tasks effectively in a fast-paced environment.</li><li>Previous experience as a receptionist or medical/dental receptionist is advantageous but not required.
