Job Summary
We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will be the backbone of our office operations, providing exceptional administrative support, managing communications, and ensuring the smooth day-to-day functioning of our workplace. Duties

  • Operate multi-line phone systems efficiently, directing calls accurately and courteously while practicing excellent phone etiquette.
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records.
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools.
  • Provide exceptional customer support by addressing inquiries promptly via phone or email, offering helpful information or redirecting as needed.
  • Assist with office management tasks such as supply ordering, maintaining cleanliness, and organizing files for easy retrieval.
  • Perform clerical duties including typing correspondence, preparing reports, and managing incoming/outgoing mail.
  • Offer personal assistant support for executives or team members as required, including travel arrangements or special project coordination.
  • Maintain a professional environment by adhering to office policies and demonstrating excellent time management skills.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for basic bookkeeping tasks is a plus.
  • Excellent communication skills in at least two languages (bilingual preferred), with strong phone etiquette.
  • Demonstrated ability to manage multi-line phone systems efficiently while maintaining professionalism.
  • Strong typing skills with high accuracy; capable of proofreading documents effectively.
  • Experience in customer service roles with a focus on customer support and problem resolution.
  • Knowledge of office management procedures including filing systems, data entry, and calendar management.
  • Ability to handle sensitive information discreetly with high levels of confidentiality.
  • Exceptional time management skills to prioritize tasks effectively in a fast-paced environment.
  • Previous experience as a receptionist or medical/dental receptionist is advantageous but not required.
