The GP Receptionist is the first point of contact for patients and visitors to the practice. The role involves providing a professional, friendly, and efficient reception and administrative service while ensuring confidentiality is maintained at all times. The receptionist supports the smooth day-to-day running of the practice by managing appointments, handling patient enquiries, and assisting the clinical and administrative teams.Key ResponsibilitiesReception Duties<ul><li>Welcome patients and visitors in a courteous and professional manner.</li><li>Answer telephone calls promptly and direct enquiries appropriately.</li><li>Book, amend, and cancel patient appointments using the clinical system.</li><li>Register new patients and update patient records accurately.</li><li>Manage patient arrivals and notify clinicians of patient attendance.</li><li>Handle general patient enquiries both face-to-face and over the phone.</li></ul>Administrative Duties<ul><li>Process incoming and outgoing correspondence, including emails and letters.</li><li>Scan and file documents accurately into patient records.</li><li>Maintain confidentiality and comply with GDPR and NHS policies.</li><li>Support repeat prescription processes in line with practice procedures.</li><li>Assist with referrals, forms, and other administrative tasks as required.</li><li>Maintain accurate records and data entry.</li></ul>Communication &amp; Teamwork<ul><li>Work collaboratively with GPs, nurses, healthcare assistants, and administrative staff.</li><li>Communicate effectively with patients, relatives, and external organisations.</li><li>Escalate urgent or sensitive issues to the appropriate staff member.</li></ul>Health &amp; Safety / Compliance<ul><li>Follow all practice policies and procedures.</li><li>Maintain patient confidentiality at all times.</li><li>Adhere to infection prevention and control procedures.</li><li>Participate in mandatory training and staff meetings.</li></ul>Person SpecificationEssential Skills &amp; Experience<ul><li>Excellent communication and interpersonal skills.</li><li>Good telephone manner and customer service skills.</li><li>Ability to work under pressure in a busy environment.</li><li>Basic IT skills and experience using Microsoft Office.</li><li>Good organisational and time management skills.</li><li>Ability to maintain confidentiality and professionalism.</li></ul>Desirable Skills &amp; Experience<ul><li>Previous experience in a GP surgery or healthcare setting.</li><li>Knowledge of NHS systems such as EMIS.</li><li>Experience handling confidential information.</li><li>Understanding of medical terminology.</li></ul>QualificationsEssential<ul><li>Good standard of general education, including English and Maths.</li></ul>Desirable<ul><li>NVQ in Administration or Customer Service (or equivalent).</li></ul>Working Hours<ul><li>Part-time / Full-time (as required by the practice).</li><li>Flexibility may be required to cover holidays and sickness.</li></ul>Personal Attributes<ul><li>Friendly and approachable.</li><li>Reliable and punctual.</li><li>Professional appearance and attitude.</li><li>Empathetic and patient-focused.</li><li>Ability to work independently and as part of a team.</li></ul>Pay: From &pound;12.80 per hourBenefits:<ul><li>Employee discount</li><li>Free parking</li><li>On-site parking</li></ul>Experience:<ul><li>GP Admin/Receptionist: 1 year (preferred)</li></ul>Work Location: In person
