The GP Receptionist is the first point of contact for patients and visitors to the practice. The role involves providing a professional, friendly, and efficient reception and administrative service while ensuring confidentiality is maintained at all times. The receptionist supports the smooth day-to-day running of the practice by managing appointments, handling patient enquiries, and assisting the clinical and administrative teams.
Key Responsibilities
Reception Duties
- Welcome patients and visitors in a courteous and professional manner.
- Answer telephone calls promptly and direct enquiries appropriately.
- Book, amend, and cancel patient appointments using the clinical system.
- Register new patients and update patient records accurately.
- Manage patient arrivals and notify clinicians of patient attendance.
- Handle general patient enquiries both face-to-face and over the phone.
Administrative Duties
- Process incoming and outgoing correspondence, including emails and letters.
- Scan and file documents accurately into patient records.
- Maintain confidentiality and comply with GDPR and NHS policies.
- Support repeat prescription processes in line with practice procedures.
- Assist with referrals, forms, and other administrative tasks as required.
- Maintain accurate records and data entry.
Communication & Teamwork
- Work collaboratively with GPs, nurses, healthcare assistants, and administrative staff.
- Communicate effectively with patients, relatives, and external organisations.
- Escalate urgent or sensitive issues to the appropriate staff member.
Health & Safety / Compliance
- Follow all practice policies and procedures.
- Maintain patient confidentiality at all times.
- Adhere to infection prevention and control procedures.
- Participate in mandatory training and staff meetings.
