This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant work environment.Duties<ul><li>Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression.</li><li>Manage multi-line phone systems efficiently, directing calls promptly and courteously while maintaining excellent phone etiquette.</li><li>Handle incoming correspondence, including emails, mail, and deliveries, ensuring timely distribution and filing.</li><li>Maintain organized filing systems&mdash;both physical and digital&mdash;using tools like Google Workspace and Microsoft Office applications.</li><li>Support calendar management by scheduling appointments, meetings, and conference rooms for staff members.</li><li>Perform data entry tasks with accuracy using computer literacy skills; update databases such as QuickBooks or other office management software.</li><li>Assist with clerical duties such as proofreading documents, preparing reports, and managing office supplies to ensure a well-organized workspace.</li><li>Provide customer support by addressing inquiries in person or over the phone, demonstrating excellent customer service skills.</li><li>Support bookkeeping activities, including basic invoicing and record keeping when needed.</li><li>Perform general office management duties to ensure the smooth operation of daily activities.</li></ul>Skills<ul><li>Strong proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.</li><li>Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.</li><li>Proven experience in office administration or clerical roles with strong attention to detail.</li><li>Exceptional phone etiquette and customer service skills to handle inquiries professionally.</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively.</li><li>Familiarity with multi-line phone systems, data entry processes, filing systems, and basic bookkeeping practices such as QuickBooks is preferred.</li><li>Ability to proofread documents carefully and maintain high standards of accuracy in all work.</li><li>Experience in medical or dental receptionist roles is a plus but not required; transferable skills are valued highly.</li><li>Personal assistant experience or calendar management expertise will be considered advantageous.
