The Senior Payroll Administrator position is responsible for providing comprehensive support for payroll functions. This position will ensure accurate and compliant processing of payroll while uphold confidentiality and delivering exceptional service. This position supports the accounting department commitment of ensuring critical compliance requirements and reporting on the financial health of Bristol Alliance of Companies (Bristol Industries) but also is a key provider to employees and manager.

Essential Functions
<ul>
<li>Review weekly and biweekly timesheets in electronic timekeeping system for compliance with Department of Labor laws and company policy, including a. Overtime rules b. Minimum hours worked/PTO needed c. Double-time for Union</li>
<li>Extract timekeeping files, upload to ERP, and ensure they reconcile.</li>
<li>Process payroll in ERP for job costing and review: a. Recalculate exempt pay for straight time regular time (SR) b. Double check PTO balances c. Process PTO cash outs and bonuses d. Update multi-rate employee rates e. Calculate and process grossed-up taxable per diem and lodging.</li>
<li>Extract payroll files from ERP, upload to payroll processing system, and ensure they reconcile.</li>
<li>Process employee benefit catchups and/or refunds.</li>
<li>Process payroll in payroll processing system and create pay statements.</li>
<li>Obtain missing timesheet signatures for employees and approvers.</li>
<li>Reconcile, update report, and remit weekly 401(k), HAS, and FSA payments.</li>
<li>Notify AP of employee inactivation events, direct deposit changes, and payroll payments.</li>
<li>Process job cost reclassifications for timesheet corrections.</li>
<li>Monitor and reconcile employee PTO/Sick balances and liability. a. Update ERP PTO balances and tier increases.</li>
<li>Create (upload data to D2Xchange), print, and review weekly certified payroll reports.</li>
<li>Research discrepancies in pay.</li>
<li>Reconcile and research tax withholding discrepancies.</li>
<li>Facilitate state payroll tax setup.</li>
<li>Review payroll staff work.</li>
<li>Report monthly heritage and statistical payroll data.</li>
<li>Compile data for annual financial, 401(k), and union audits.</li>
<li>Assist with reconciling annual profit-sharing payments.</li>
<li>Draft and update payroll procedures regularly.</li>
<li>Maintain and organize data on network drive.</li>
<li>Maintain confidentiality.</li>
<li>Other duties as assigned.</li>

Required Education and Experience
<ul>
<li>High school diploma or GED.</li>
<li>Minimum 2 years payroll experience in corporate accounting.</li>
<li>Valid Driver&rsquo;s license.</li>
</ul>
Preferred Education and Experience
<ul>
<li>Experience in government contracting, the construction industry, and a multi-company environment.</li>
<li>Experience in Alaska Native Corporations and knowledge of the Small Business Administration&rsquo;s 8(a) program.</li>
<li>Experience processing payroll for union, Davis Bacon, and Service Contract Act (SCA) employees.</li>
<li>Proficiency in Unanet and UKG Pro software.</li>

Essential Functions
<ul>
<li>Provide exceptional customer service to internal staff, subcontractors, and vendors.</li>
<li>Maintain General Ledger Accounts by adding/inactivating accounts and ensure accurate account records, add/delete cost centers and update relevant information.</li>
<li>Maintain Accounting System by add/delete users and ensure proper access levels, Setup security profiles to safeguard sensitive financial information, troubleshoot issues and coordinate with IT for system enhancements and problem resolution.</li>
<li>Support Banking Operations, such as: uploading check registers to accounting system, reviewing transactions for potential fraud and taking necessary preventive measures, review, and releasing purchase requisitions (PR) and accounts payable (AP) payments.</li>
<li>Maintain, review, and post/update the following on a weekly and/or monthly basis, such as: journal entries accurately and in a timely manner, job cost changes and ensure proper cost allocation, direct checks, and verify appropriateness, intercompany billings and reconcile with related entities, overhead tracking jobs and facilitate the transition from direct to indirect costs, facilities and G&amp;A pools and ensure accurate allocation.</li>
<li>Reconcile the following monthly: bank statements with General Ledger records, fixed assets by reconciling the Fixed Assets System (FAS) with the General Ledger and posting and reconciling the depreciation, labor expenses to General Ledger records, job costs to General Ledger and cost centers to maintain accurate project tracking, fringe rates to ensure proper allocation and calculation, cost allocations to verify accuracy and adherence to established guidelines.</li>
<li>Compile audit data: create requested schedules and provide organized backup documentation for audits and assist auditors by organizing and providing requested information.</li>
<li>Produce Reports: create monthly reports for management and operations, ensuring accuracy and timelines, and generate ad hoc reports as requested by different stakeholders.</li>
<li>Provide backup to Accounts Payable (A/P), Accounts Receivable (A/R), and Payroll (PR): review posted data for accuracy and completeness, assist with data-entry tasks are needed during peak periods or staff shortages.</li>
<li>Complete other duties as assigned to support the accounting team and ensure smooth operations.</li>
<li>Flexibility to switch tasks frequently and adapt to changing requirements while waiting on data to complete subsequent steps.</li>
