Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Your enthusiasm and organizational skills will help foster a productive and welcoming workplace atmosphere.Duties<ul><li>Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth</li><li>Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette</li><li>Perform data entry and maintain accurate records using Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping tasks</li><li>Handle calendar management for executives and team members, scheduling appointments, meetings, and reminders</li><li>Assist with office management duties such as filing, proofreading documents, organizing supplies, and maintaining office equipment</li><li>Provide customer support by addressing inquiries via phone or email with a friendly and helpful attitude</li><li>Support clerical tasks including typing correspondence, managing incoming/outgoing mail, and maintaining organized filing systems</li></ul>Qualifications<ul><li>Proven experience in an office setting with strong clerical skills and familiarity with office management procedures</li><li>Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy</li><li>Experience with QuickBooks or similar bookkeeping software is highly desirable</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment</li><li>Strong communication skills in English; bilingual abilities are a plus to serve diverse clients and team members</li><li>Demonstrated ability to handle multi-line phone systems and practice professional phone etiquette</li><li>Previous experience as a receptionist or personal assistant is preferred; experience in medical or dental reception is a bonus</li><li>Ability to type quickly with high accuracy; attention to detail for proofreading documents is essential</li><li>Knowledge of office equipment operation including printers, scanners, and fax machines</li><li>Strong time management skills to juggle multiple responsibilities efficiently</li></ul>Join us in creating an engaging work environment where your organizational talents shine!
