We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping tasks
- Handle calendar management for executives and team members, scheduling appointments, meetings, and reminders
- Assist with office management duties such as filing, proofreading documents, organizing supplies, and maintaining office equipment
- Provide customer support by addressing inquiries via phone or email with a friendly and helpful attitude
- Support clerical tasks including typing correspondence, managing incoming/outgoing mail, and maintaining organized filing systems
Qualifications
- Proven experience in an office setting with strong clerical skills and familiarity with office management procedures
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong communication skills in English; bilingual abilities are a plus to serve diverse clients and team members
- Demonstrated ability to handle multi-line phone systems and practice professional phone etiquette
- Previous experience as a receptionist or personal assistant is preferred; experience in medical or dental reception is a bonus
- Ability to type quickly with high accuracy; attention to detail for proofreading documents is essential
- Knowledge of office equipment operation including printers, scanners, and fax machines
- Strong time management skills to juggle multiple responsibilities efficiently
