The firm is intentionally structured for quality, precision, and efficiency. We are seeking a part-time Administrative Assistant/Legal Administrative Assistant to manage daily office operations, legal files, administrative functions, and to support financial operations and reporting.This position is ideal for someone seeking a stable, long-term administrative career &mdash; not a stepping stone into another profession.Position OverviewThe Administrative Assistant manages core office operations and supports the attorney with file organization, bookkeeping coordination, docket management, and production support. This is a detail-driven, systems-oriented role. Success in this position requires consistency, follow-through, and pride in keeping a professional office running cleanly and efficiently.The position will be hybrid, requiring both in-office work and remote work, and is expected to be available a minimum of 10 hours/week, up to 15 hours/week.Core Responsibilities1) Office Administration &amp; Support<ul><li>Organize and maintain digital files in their correct place within the Firm&rsquo;s systems.</li><li>Managing incoming mail and document flow</li><li>Manage incoming calls/messages from the reception service</li><li>Manage the Firm-wide office calendar, including all case/matter deadlines</li><li>Run local errands, e.g., post office, FedEx, or bank</li><li>Arrange travel and scheduling logistics</li><li>Assist with certain marketing campaigns</li><li>Basic copyediting and proofreading duties</li><li>Maintaining office supplies</li></ul>2) Accounting and Financial Hygiene<ul><li>Track and categorize all Firm expenses in accounting and case management applications</li><li>Track and reconcile incoming payments and ensure they are correctly applied in the Firm's systems</li><li>Assist with check preparation and accounts payable</li><li>Serve as the first-line liaison with the Firm&rsquo;s accountants</li><li>Monitor bookkeeping reports</li></ul>3) Litigation and Production Support<ul><li>Prepare and assemble routine legal documents</li><li>Organize and maintain litigation files</li><li>Assist with document production and Bates-stamping, redaction, etc.</li><li>Handle logistical needs of active cases, such as electronic court filings, scheduling process servers and court reporters, and arranging depositions</li><li>Communicate with clients as directed, including preparing routine correspondence and providing updates as required</li><li>Electronically file pleadings in court e-filing systems</li></ul>Preferred Traits<ul><li>3+ years in administrative and/or office support roles</li><li>Demonstrated longevity in prior positions</li><li>Appreciation for structured systems</li><li>Desire for long-term stability</li></ul>Preferred (But Not Required)<ul><li>Bookkeeping familiarity (Hubdoc, Xero, QuickBooks, or similar)</li><li>Experience with case management software</li></ul>Core Competencies<ul><li>Strong proficiency in Microsoft 365 (Word, Teams, Excel, OneDrive, etc.)</li><li>Proficiency in Adobe Acrobat DC Pro</li><li>Comfort working in cloud-based systems</li><li>Excellent organizational and follow-up habits</li><li>Keen attention to detail</li><li>Ability to perform within deadlines and prioritize tasks</li><li>Reliable, self-directed, and comfortable working independently</li><li>Professional demeanor and sound judgment with confidential information</li><li>Must be willing to learn: (i) Online bookkeeping and receipt management tools; (ii) Cloud-based practice management applications; (iii) A.I. tools</li></ul>We strongly believe that good systems make work more enjoyable and less stressful.
