Administrative Assistant/Legal Administrative Assistant

Part-Time - Hybrid (In-office & Remote)

Compensation: Starting at $20.00/hr

Cape Law Firm is a small, tech-centered, specialized law practice focused on agricultural law, intellectual property, and litigation. The firm is intentionally structured for quality, precision, and efficiency. We are seeking a part-time Administrative Assistant/Legal Administrative Assistant to manage daily office operations, legal files, administrative functions, and to support financial operations and reporting.

This position is ideal for someone seeking a stable, long-term administrative career — not a stepping stone into another profession.

Position Overview

The Administrative Assistant manages core office operations and supports the attorney with file organization, bookkeeping coordination, docket management, and production support. This is a detail-driven, systems-oriented role. Success in this position requires consistency, follow-through, and pride in keeping a professional office running cleanly and efficiently.

The position will be hybrid, requiring both in-office work and remote work, and is expected to be available a minimum of 10 hours/week, up to 15 hours/week.

Core Responsibilities

1) Office Administration & Support

  • Organize and maintain digital files in their correct place within the Firm’s systems.
  • Managing incoming mail and document flow
  • Manage incoming calls/messages from the reception service
  • Manage the Firm-wide office calendar, including all case/matter deadlines
  • Run local errands, e.g., post office, FedEx, or bank
  • Arrange travel and scheduling logistics
  • Assist with certain marketing campaigns
  • Basic copyediting and proofreading duties
  • Maintaining office supplies

2) Accounting and Financial Hygiene

  • Track and categorize all Firm expenses in accounting and case management applications
  • Track and reconcile incoming payments and ensure they are correctly applied in the Firm's systems
  • Assist with check preparation and accounts payable
  • Serve as the first-line liaison with the Firm’s accountants
  • Monitor bookkeeping reports

3) Litigation and Production Support

  • Prepare and assemble routine legal documents
  • Organize and maintain litigation files
  • Assist with document production and Bates-stamping, redaction, etc.
  • Handle logistical needs of active cases, such as electronic court filings, scheduling process servers and court reporters, and arranging depositions
  • Communicate with clients as directed, including preparing routine correspondence and providing updates as required
  • Electronically file pleadings in court e-filing systems

Preferred Traits

  • 3+ years in administrative and/or office support roles
  • Demonstrated longevity in prior positions
  • Appreciation for structured systems
  • Desire for long-term stability

Preferred (But Not Required)

  • Bookkeeping familiarity (Hubdoc, Xero, QuickBooks, or similar)
  • Experience with case management software

Core Competencies

  • Strong proficiency in Microsoft 365 (Word, Teams, Excel, OneDrive, etc.)
  • Proficiency in Adobe Acrobat DC Pro
  • Comfort working in cloud-based systems
  • Excellent organizational and follow-up habits
  • Keen attention to detail
  • Ability to perform within deadlines and prioritize tasks
  • Reliable, self-directed, and comfortable working independently
  • Professional demeanor and sound judgment with confidential information
  • Must be willing to learn: (i) Online bookkeeping and receipt management tools; (ii) Cloud-based practice management applications; (iii) A.I. tools
