Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This paid position offers an exciting opportunity to develop your office management skills and contribute to a professional, fast-paced setting.Duties<ul><li>Greet visitors and clients warmly, providing outstanding customer service and ensuring a positive first impression</li><li>Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette</li><li>Handle incoming and outgoing correspondence, including emails, mail, and deliveries with accuracy and timeliness</li><li>Maintain organized filing systems, perform data entry, and ensure all records are up-to-date using office software such as Microsoft Office and Google Workspace</li><li>Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff or executives</li><li>Support office management tasks such as ordering supplies, managing inventories, and overseeing general administrative functions</li><li>Perform clerical duties including proofreading documents, managing invoices or bookkeeping software, and supporting bookkeeping activities</li><li>Provide administrative support as needed to team members or departments, including personal assistant tasks or special projects</li></ul>Requirements<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills</li><li>Experience with multi-line phone systems and phone etiquette in a professional setting</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Previous experience in reception roles such as medical or dental receptionist is a plus</li><li>Knowledge of QuickBooks or bookkeeping software is preferred for handling financial transactions accurately</li><li>Excellent time management skills with the ability to prioritize tasks efficiently</li><li>Strong customer service orientation with the ability to handle inquiries politely and professionally</li><li>Clerical experience including filing, proofreading, calendar management, and data entry is essential</li><li>Ability to work independently while supporting team objectives in a fast-paced environment</li></ul>Join us in creating a welcoming atmosphere while providing essential administrative support!
