Receptionist/Administrative Assistant

Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

  • Greet visitors and clients warmly, providing outstanding customer service and ensuring a positive first impression
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and deliveries with accuracy and timeliness
  • Maintain organized filing systems, perform data entry, and ensure all records are up-to-date using office software such as Microsoft Office and Google Workspace
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events for staff or executives
  • Support office management tasks such as ordering supplies, managing inventories, and overseeing general administrative functions
  • Perform clerical duties including proofreading documents, managing invoices or bookkeeping software, and supporting bookkeeping activities
  • Provide administrative support as needed to team members or departments, including personal assistant tasks or special projects

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and phone etiquette in a professional setting
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Previous experience in reception roles such as medical or dental receptionist is a plus
  • Knowledge of QuickBooks or bookkeeping software is preferred for handling financial transactions accurately
  • Excellent time management skills with the ability to prioritize tasks efficiently
  • Strong customer service orientation with the ability to handle inquiries politely and professionally
  • Clerical experience including filing, proofreading, calendar management, and data entry is essential
  • Ability to work independently while supporting team objectives in a fast-paced environment

Pay: $15.00 - $17.00 per hour
