Receptionist/Administrative Assistant

Overview
We are seeking a dynamic and detail-oriented Receptionist/Administrative Assistant to join our team. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be energetic, organized, and proficient in managing multiple tasks efficiently. You will serve as the first point of contact for visitors and callers, while also handling a variety of administrative assistant duties that keep our workplace running seamlessly. Duties

  • Greet visitors warmly, process union dues utilizing a point-of-sale system, and act as first point of contact for applicants
  • Operate multi-line phone systems with professionalism, practicing excellent phone etiquette; handle incoming calls, screen inquiries, and provide prompt customer support or direct calls to the appropriate members of management team
  • Manage appointment scheduling and calendar organization using Google Calendar
  • Perform data entry in industry specific software (training provided), maintain filing systems, and ensure accurate recordkeeping for office documents
  • Assist with bookkeeping tasks using QuickBooks accounting software
  • Support office management tasks such as ordering supplies, organizing files, proofreading documents, and maintaining reception area
  • Assist with newsletters, flyers, email updates, and other member communications
  • Assist with event coordination for union events and member meetings

Requirements

  • Proven office experience with strong clerical skills and familiarity with administrative tasks (union or nonprofit experience preferred)
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Ability to manage multiple tasks and meet deadlines with attention to detail.
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Knowledge of office management practices such as filing, proofreading, and calendar management
  • Ability to handle sensitive information discreetly while maintaining professionalism at all times

Pay: $22.77 - $27.42 per hour
