This paid position offers an exciting opportunity to develop your office management skills while contributing to a professional and friendly workplace.Responsibilities<ul><li>Greet visitors warmly, manage front desk operations, and ensure a professional first impression.</li><li>Answer multi-line phone systems promptly, directing calls accurately and courteously.</li><li>Manage appointment scheduling, calendar coordination, and meeting arrangements using various digital tools.</li><li>Perform data entry, maintain filing systems, and organize documents for easy retrieval.</li><li>Support office management tasks such as inventory control, supply ordering, and mail distribution.</li><li>Assist with clerical duties including proofreading documents, preparing correspondence, and managing email communications.</li><li>Provide customer support by addressing inquiries, offering information about services, and ensuring client satisfaction.</li><li>Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks for bookkeeping tasks.</li><li>Maintain excellent phone etiquette and professionalism in all interactions with clients, vendors, and team members.</li><li>Support personal assistant duties such as calendar management and travel arrangements when needed.</li></ul>Qualifications<ul><li>Proven office experience with strong clerical skills and familiarity with front desk operations.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry tools.</li><li>Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Strong communication skills; bilingual abilities are a plus for serving diverse clients effectively.</li><li>Experience with multi-line phone systems and phone etiquette is essential.</li><li>Demonstrated ability to handle confidential information discreetly and professionally.</li><li>Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.</li><li>High school diploma or equivalent; additional administrative or office management certifications are preferred.
