As we scale our business through multiple growth initiatives, we are building out a dedicated sales operations function to support our expanding team.Position OverviewWe are seeking an organized, detail-oriented, and motivated Sales Administrator to join Comco Systems as a foundational member of our new sales operations function. This role reports directly to sales leadership and serves as the operational backbone of the sales team&mdash;ensuring that orders, proposals, customer communications, and CRM data are handled with accuracy and professionalism.The ideal candidate thrives in a fast-paced environment, takes ownership of administrative processes, and genuinely enjoys supporting a team to perform at its best. You will work closely with our Account Executives, operations staff, and customers to ensure seamless execution across the sales cycle&mdash;from initial inquiry through order fulfillment and invoicing.Key ResponsibilitiesOrder Processing &amp; Fulfillment<ul><li>Order Management: Process, review, and track customer orders received via phone and email with a high degree of accuracy and urgency.</li><li>Status Tracking: Monitor open orders through fulfillment, proactively communicating updates and delays to customers and internal stakeholders.</li><li>Documentation: Ensure all order records are complete, accurate, and filed appropriately in accordance with company procedures.</li></ul>Customer Service &amp; Communication<ul><li>Primary Point of Contact: Serve as the first point of contact for customer inquiries related to product availability, pricing, delivery timelines, and order status.</li><li>Relationship Support: Assist Account Executives in maintaining responsive, professional communication with financial institution clients throughout the sales process.</li></ul>CRM &amp; Data Management<ul><li>CRM Administration: Maintain and update customer records, contact information, opportunity data, and activity logs within the company CRM platform (Odoo).</li></ul>Proposals, Quoting &amp; Contracts<ul><li>Proposal Preparation: Assist Account Executives in preparing professional proposals, price quotations, and system configurations for prospective clients.</li><li>Quote Coordination: Gather pricing, product specifications, and service scope from internal teams to build accurate, timely quotes.</li><li>Contract Support: Facilitate the review, routing, and filing of sales agreements and related documentation.</li></ul>Sales Team Support<ul><li>Administrative Coordination: Provide day-to-day administrative support to the sales team, including scheduling, correspondence, and preparation of sales materials.</li><li>Meeting Preparation: Compile pre-call research, account summaries, and presentation materials in advance of customer meetings and site visits.</li><li>Territory Administration: Assist with territory planning activities, account list management, and prospect database maintenance.</li></ul>Logistics &amp; Invoicing Coordination<ul><li>Invoice Processing: Process customer invoices accurately and follow up to obtain any missing information required for billing.</li><li>Internal Coordination: Serve as a communication bridge between the sales team and internal departments including operations, service, and finance.</li></ul>Required QualificationsExperience &amp; Background<ul><li>1&ndash;2 years of experience in a sales support, administrative, or customer service role; relevant internship experience will be considered.</li><li>Prior experience in a B2B environment is a plus, particularly in manufacturing, equipment, or financial services sectors.</li><li>Demonstrated ability to manage multiple tasks simultaneously while maintaining accuracy and professionalism.</li></ul>Technical Skills<ul><li>CRM Proficiency: Working knowledge of CRM platforms; experience with Odoo, Salesforce, or similar systems preferred.</li><li>Microsoft Office: Strong proficiency in Excel, Word, and Outlook; ability to build and maintain spreadsheets and formatted documents.</li><li>Order Management: Comfort working with order processing workflows, purchase documentation, and invoice management.</li></ul>Professional Attributes<ul><li>Communication: Excellent written and verbal communication skills with a professional, customer-focused tone in all interactions.</li><li>Attention to Detail: High accuracy in data entry, document preparation, and invoice processing&mdash;errors have downstream consequences in our business.</li><li>Organizational Skills: Exceptional time management and organizational capabilities to handle high-volume administrative tasks across multiple priorities.</li><li>Team-Oriented: Collaborative mindset with a genuine desire to make the sales team more effective and the customer experience exceptional.</li><li>Adaptability: Comfortable working in a growing company environment where processes continue to evolve and improve.</li></ul>Education<ul><li>High school diploma or equivalent required.</li><li>Associate's or Bachelor's degree in Business Administration, Marketing, or a related field is a plus.</li></ul>Key Performance IndicatorsSuccess in this role will be measured by:<ul><li>Order Accuracy: Percentage of orders processed without errors or rework.</li><li>Turnaround Time: Speed and consistency of quote and proposal delivery to the sales team.</li><li>CRM Data Integrity: Completeness and accuracy of account and opportunity records at any given time.</li><li>Customer Responsiveness: Timely response to inbound customer inquiries&mdash;target same-day acknowledgment.</li><li>Invoice Processing: Accuracy and timeliness of invoice generation and follow-up.</li></ul>Compensation &amp;
