Our product portfolio includes sophisticated pneumatic point-to-point and remote drive-up systems, along with full-service security equipment sales, installation, and support. As we scale our business through multiple growth initiatives, we are building out a dedicated sales operations function to support our expanding team.
Position Overview
We are seeking an organized, detail-oriented, and motivated Sales Administrator to join Comco Systems as a foundational member of our new sales operations function. This role reports directly to sales leadership and serves as the operational backbone of the sales team—ensuring that orders, proposals, customer communications, and CRM data are handled with accuracy and professionalism.

You will work closely with our Account Executives, operations staff, and customers to ensure seamless execution across the sales cycle—from initial inquiry through order fulfillment and invoicing.
Key ResponsibilitiesOrder Processing & Fulfillment
- Order Management: Process, review, and track customer orders received via phone and email with a high degree of accuracy and urgency.
- Status Tracking: Monitor open orders through fulfillment, proactively communicating updates and delays to customers and internal stakeholders.
- Documentation: Ensure all order records are complete, accurate, and filed appropriately in accordance with company procedures.
Customer Service & Communication
- Primary Point of Contact: Serve as the first point of contact for customer inquiries related to product availability, pricing, delivery timelines, and order status.
- Relationship Support: Assist Account Executives in maintaining responsive, professional communication with financial institution clients throughout the sales process.
CRM & Data Management
- CRM Administration: Maintain and update customer records, contact information, opportunity data, and activity logs within the company CRM platform (Odoo).
Proposals, Quoting & Contracts
- Proposal Preparation: Assist Account Executives in preparing professional proposals, price quotations, and system configurations for prospective clients.
- Quote Coordination: Gather pricing, product specifications, and service scope from internal teams to build accurate, timely quotes.
- Contract Support: Facilitate the review, routing, and filing of sales agreements and related documentation.
Sales Team Support
- Administrative Coordination: Provide day-to-day administrative support to the sales team, including scheduling, correspondence, and preparation of sales materials.
- Meeting Preparation: Compile pre-call research, account summaries, and presentation materials in advance of customer meetings and site visits.
- Territory Administration: Assist with territory planning activities, account list management, and prospect database maintenance.
Logistics & Invoicing Coordination
- Invoice Processing: Process customer invoices accurately and follow up to obtain any missing information required for billing.
- Internal Coordination: Serve as a communication bridge between the sales team and internal departments including operations, service, and finance.
Required QualificationsExperience & Background
- 1–2 years of experience in a sales support, administrative, or customer service role; relevant internship experience will be considered.
- Prior experience in a B2B environment is a plus, particularly in manufacturing, equipment, or financial services sectors.
- Demonstrated ability to manage multiple tasks simultaneously while maintaining accuracy and professionalism.
Technical Skills
- CRM Proficiency: Working knowledge of CRM platforms; experience with Odoo, Salesforce, or similar systems preferred.
- Microsoft Office: Strong proficiency in Excel, Word, and Outlook; ability to build and maintain spreadsheets and formatted documents.
- Order Management: Comfort working with order processing workflows, purchase documentation, and invoice management.

Education

- Order Accuracy: Percentage of orders processed without errors or rework.
- Turnaround Time: Speed and consistency of quote and proposal delivery to the sales team.
- CRM Data Integrity: Completeness and accuracy of account and opportunity records at any given time.
- Customer Responsiveness: Timely response to inbound customer inquiries—target same-day acknowledgment.
- Invoice Processing: Accuracy and timeliness of invoice generation and follow-up.
