Position OverviewThis position provides administrative and operational support across multiple functional areas including executive administration, development/fundraising, marketing, and general office operations. The role supports the Executive Director with Board relations and administrative tasks, assists the Development Director with donor database management and gift processing, coordinates non-direct service volunteers in support of marketing efforts, and serves as the primary point of contact for phone and in-person inquiries. This is a multi-faceted position requiring the ability to manage diverse responsibilities and shift between different types of tasks throughout the workday.Key ResponsibilitiesDevelopment, Marketing &amp; Fundraising Support (90%)<ul><li>Process and enter donor gifts into database with accuracy and timeliness</li><li>Prepare and send donor acknowledgment letters and tax receipts</li><li>Coordinate tracking and documentation of in-kind donations</li><li>Maintain accurate donor records and generate reports as needed</li><li>Assist Development Director and Assistant Director with campaign logistics and coordination</li><li>Support grant reporting and compliance documentation</li><li>Help coordinate donor events and stewardship activities</li><li>Support marketing initiatives including social media scheduling, email newsletters, and promotional materials as needed</li><li>Assist with event planning and community outreach activities</li><li>Update website content as needed</li></ul>Board Support (5%)<ul><li>Prepare materials for Board of Directors meetings including agendas, packets, and presentations</li><li>Coordinate Board meeting logistics and scheduling</li><li>Record and track Board member volunteer hours and engagement</li><li>Maintain Board calendar and communications</li></ul>Office Operations &amp; Reception (5%)<ul><li>Serve as first point of contact by answering phones and greeting visitors at the office door</li><li>Maintain welcoming and professional office environment</li><li>Process incoming and outgoing mail</li></ul>Physical Requirements &amp; Work Environment<ul><li>Ability to sit for extended periods while performing computer work</li><li>Occasional lifting of supplies or materials up to 25 pounds</li><li>Office environment located in Humboldt Park, Chicago</li><li>Accessible by public transportation</li><li>Occasional evening or weekend hours for events or Board meetings (with advance notice.)</li></ul>FLSA Classification: Non-Exempt (eligible for overtime pay)This job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee.
