Position Overview

This position provides administrative and operational support across multiple functional areas including executive administration, development/fundraising, marketing, and general office operations. The role supports the Executive Director with Board relations and administrative tasks, assists the Development Director with donor database management and gift processing, coordinates non-direct service volunteers in support of marketing efforts, and serves as the primary point of contact for phone and in-person inquiries. This is a multi-faceted position requiring the ability to manage diverse responsibilities and shift between different types of tasks throughout the workday.

Key Responsibilities

Development, Marketing & Fundraising Support (90%)

  • Process and enter donor gifts into database with accuracy and timeliness
  • Prepare and send donor acknowledgment letters and tax receipts
  • Coordinate tracking and documentation of in-kind donations
  • Maintain accurate donor records and generate reports as needed
  • Assist Development Director and Assistant Director with campaign logistics and coordination
  • Support grant reporting and compliance documentation
  • Help coordinate donor events and stewardship activities
  • Support marketing initiatives including social media scheduling, email newsletters, and promotional materials as needed
  • Assist with event planning and community outreach activities
  • Update website content as needed

Board Support (5%)

  • Prepare materials for Board of Directors meetings including agendas, packets, and presentations
  • Coordinate Board meeting logistics and scheduling
  • Record and track Board member volunteer hours and engagement
  • Maintain Board calendar and communications

Office Operations & Reception (5%)

  • Serve as first point of contact by answering phones and greeting visitors at the office door
  • Maintain welcoming and professional office environment
  • Process incoming and outgoing mail

Physical Requirements & Work Environment

  • Ability to sit for extended periods while performing computer work
  • Occasional lifting of supplies or materials up to 25 pounds
  • Office environment located in Humboldt Park, Chicago
  • Accessible by public transportation
  • Occasional evening or weekend hours for events or Board meetings (with advance notice.)

FLSA Classification: Non-Exempt (eligible for overtime pay)

Pay: $22.00 - $27.00 per hour
