Job Title: Administrative AssistantLocation: Remote, with occasional on-site tasks in Santa Cruz, Soquel and Aptos, CAAbout Coryell Autism Center: Coryell Autism Center prepares autistic adults to lead meaningful and independent lives in Santa Cruz County. As a nonprofit organization, we serve a small caseload of adults receiving support services in their home and community settings.Job Summary: Seeking a dependable, detail-oriented Administrative Assistant to support financial and operational activities. The role requires strong organizational skills, discretion, and the ability to communicate professionally with staff, vendors, clients, and families.Key Responsibilities:Financial:<ul><li>Create and send client invoices, post client payments.</li><li>Monitor accounts receivable and follow up on past-due invoices.</li><li>Maintain accurate AR records and prepare monthly reports.</li><li>Prepare and manage employee expense reimbursements.</li><li>Processing credit card purchases, keeping digital receipts and reconciliation of monthly credit cards.</li></ul>Operations:<ul><li>Assist with bi-monthly payroll processing.</li><li>Maintain employee records and support documentation.</li><li>Manage data entry, filing systems, and recordkeeping to ensure accuracy and accessibility.</li><li>Receive, sort, and process incoming mail (PO box mail)</li><li>Manage workflows, spot-check tasks, and ensure timely execution of projects</li><li>Schedule client meetings and arrange transportation as needed.</li><li>Establish and maintain complete and accurate filing systems as needed. This will include, but not be limited to attendance records/ transfers, expense reports, client requests, vendor/ contract information, projects, budgets, schedules, etc.</li><li>Professionally respond to client and family inquiries; liaise with service providers.</li><li>Provide general administrative support to staff as required.</li></ul>Qualifications:<ul><li>1&ndash;2 years supporting a team or experience as an office administrator/assistant.</li><li>Proficient with Microsoft Office (Teams, Word, Excel, Outlook).</li><li>Strong organizational, time-management, and prioritization skills.</li><li>Excellent attention to detail and problem-solving ability.</li><li>Clear written and verbal communication skills.</li><li>Able to work both collaboratively and independently</li><li>Flexible and adaptable to changing priorities</li><li>Reliable commitment to meeting deadlines and producing quality work.</li></ul>Job Type: Part-timePay: $28.00 per hourBenefits:<ul><li>401(k)</li><li>401(k) matching</li><li>Flexible schedule</li><li>Tuition reimbursement</li></ul>Ability to Commute:<ul><li>Santa Cruz, CA 95060 (Required)</li></ul>Ability to Relocate:<ul><li>Santa Cruz, CA 95060: Relocate before starting work (Required)</li></ul>Work Location: Hybrid remote in Santa Cruz, CA 95060
