Job Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! Your enthusiasm and attention to detail will help drive efficiency and foster a positive workplace atmosphere.Duties<ul><li>Manage complex calendars, schedule meetings, and coordinate appointments for executives with precision and flexibility.</li><li>Handle incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and customer service skills.</li><li>Prepare, proofread, and organize documents, reports, and correspondence to ensure accuracy and clarity.</li><li>Maintain organized filing systems, both physical and digital, including data entry into databases such as QuickBooks and Google Workspace.</li><li>Assist with office management duties such as ordering supplies, overseeing front desk operations, and managing office equipment.</li><li>Provide exceptional customer support by addressing inquiries promptly and professionally, whether in person or via phone or email.</li><li>Support bookkeeping activities, including basic bookkeeping tasks using QuickBooks or similar software.</li><li>Coordinate travel arrangements, calendar management, and personal assistant tasks for executives as needed.</li><li>Ensure efficient operation of front desk activities, including greeting visitors and managing visitor logs.</li></ul>Experience<ul><li>Proven experience as an executive assistant or in a similar administrative role within an office environment.</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.</li><li>Demonstrated organizational skills with the ability to multitask effectively in a busy setting.</li><li>Excellent communication skills, both verbal and written; bilingual abilities are a plus!</li><li>Experience handling multi-line phone systems, customer service interactions, and clerical duties such as filing and proofreading.</li><li>Familiarity with office management procedures including calendar management, filing systems, and supply inventory control.</li><li>Previous experience in medical or dental receptionist roles is advantageous but not required; personal assistant experience is highly valued.</li><li>Knowledge of basic bookkeeping practices using QuickBooks or similar software is preferred.</li><li>Ability to prioritize tasks efficiently with strong time management skills to meet deadlines consistently.
