We are seeking a dynamic and highly organized Executive Assistant to join our team! Duties
- Manage complex calendars, schedule meetings, and coordinate appointments for executives with precision and flexibility.
- Handle incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and customer service skills.
- Prepare, proofread, and organize documents, reports, and correspondence to ensure accuracy and clarity.
- Maintain organized filing systems, both physical and digital, including data entry into databases such as QuickBooks and Google Workspace.
- Assist with office management duties such as ordering supplies, overseeing front desk operations, and managing office equipment.
- Provide exceptional customer support by addressing inquiries promptly and professionally, whether in person or via phone or email.
- Support bookkeeping activities, including basic bookkeeping tasks using QuickBooks or similar software.
- Coordinate travel arrangements, calendar management, and personal assistant tasks for executives as needed.
- Ensure efficient operation of front desk activities, including greeting visitors and managing visitor logs.
Experience
- Proven experience as an executive assistant or in a similar administrative role within an office environment.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
- Demonstrated organizational skills with the ability to multitask effectively in a busy setting.
- Excellent communication skills, both verbal and written; bilingual abilities are a plus!
- Experience handling multi-line phone systems, customer service interactions, and clerical duties such as filing and proofreading.
- Familiarity with office management procedures including calendar management, filing systems, and supply inventory control.
- Previous experience in medical or dental receptionist roles is advantageous but not required; personal assistant experience is highly valued.
- Knowledge of basic bookkeeping practices using QuickBooks or similar software is preferred.
